ABSTRACT
The Library Management System is a web-based application developed to automate library
administrative activities and replace manual record-keeping with an efficient digital
solution. The system enables librarians to manage book records, track book availability,
register members, maintain staff information, and handle book issuance and returns in an
organized manner.
The system is developed using [Link] with a centralized database to ensure accurate data
storage and retrieval. It focuses on improving operational efficiency, minimizing errors in
book transactions, and simplifying day-to-day library management tasks. Proper system
analysis, design, and testing were conducted to ensure reliability, security, and ease of use.
The implementation of the Library Management System enhances data organization,
improves service efficiency, and supports effective library operations through a secure and
user-friendly platform for both library staff and users.

INTRODUCTION
1.1 Background
As educational institutions continue to expand, libraries play a crucial role in supporting
academic activities and student learning. However, managing library operations manually
through paper-based records or basic spreadsheet systems often leads to several challenges,
including data redundancy, difficulty in monitoring book availability, inaccuracies in issuing
and returning records, and inefficient maintenance of library data. These limitations increase
the administrative workload of library staff and negatively affect the quality and efficiency
of library services.
With advancements in information technology, particularly in web-based systems, it has
become possible to automate and optimize library operations effectively. Web application
frameworks such as [Link] provide a robust and secure environment for developing
scalable, user-friendly applications. In this context, a Library Management System
developed using [Link] enables systematic management of books, categories, members,
and circulation activities in an organized and reliable manner.
This project focuses on the development of a Library Management Module that allows
librarians to manage book records, organize books by categories, register members, handle
book issuance and returns, and monitor book availability in real time. The system aims to
enhance accuracy, transparency, and operational efficiency while improving the overall user
experience for both library staff and users.
1.2 Focus of Study
The focus of this study is the design and development of a web-based Library Management
System that automates core library-related activities. The study emphasizes:
• Efficient management of books, members, and staff records.
• Streamlining book issuance and return processes.
• Reducing manual errors and improving accuracy in tracking book availability.
• Providing a secure and user-friendly system to enhance overall library operations.

1.3 Problem Statement
Many libraries still rely on manual or semi-automated systems to manage books, members,
and staff. These traditional methods present several problems, such as:
• Manual library operations cause errors in book tracking, issuance, and returns.
• Maintaining organized records of books, members, and staff is difficult and time-
consuming.
1.4 Objectives
• To automate library operations and manage books, members, and staff efficiently.
• To improve accuracy, reduce errors, and provide a user-friendly library system.
1.5 Literature Review
(Sharma, 2020) developed a web-based library management system aimed at simplifying
book inventory and user management. The system automated book issuing, returning, and
catalog maintenance processes. The study reported that automation reduced paperwork,
minimized human errors, and improved accuracy in tracking library resources. It
emphasized the role of centralized databases in maintaining consistency and reliability of
records. The system enhanced overall efficiency and reduced administrative workload.
(Khan, 2021) proposed an online library management system designed to support real-time
access to library resources. The system facilitated efficient management of books, members,
and transaction records. The study highlighted improvements in search speed, data accuracy,
and report generation. It concluded that digital library systems improve transparency,
accessibility, and service delivery, particularly in educational institutions.
(Patel, 2022) implemented a web-based library automation system focusing on effective
circulation control and user record maintenance. The system allowed librarians to manage
book availability and monitor borrowing history efficiently. The research emphasized that
automation improved data integrity, reduced redundancy, and enabled faster retrieval of
information. The study concluded that the system enhanced resource utilization and user
satisfaction.
(Singh, 2023) designed a centralized library management platform to improve
administrative efficiency and data handling. The system supported book cataloging, member
registration, and transaction tracking. The findings indicated that the system reduced
operational delays, improved accuracy, and streamlined reporting processes. The study
emphasized that library systems contribute significantly to modernizing library services.

1.6 Limitations
Despite its advantages, the proposed Library Management System has certain limitations:
• The system can only manage library operations and does not handle advanced
features such as book reservations or digital lending.
• It requires computer and internet access, limiting usage in libraries without adequate
infrastructure.
• The system depends on accurate data entry or errors during input may affect record
accuracy.
• The system focuses on administrative efficiency and does not provide automated
analysis or reporting of library usage trends.

2.1 Brief Introduction of the Industry
The Information Technology (IT) industry refers to the sector that deals with the use of
computers, software, networks, and digital systems to create, store, process, and manage
information. It plays a vital role in modern society by enabling automation, digital
communication, and efficient management of business operations. The IT industry supports
almost every other industry, including healthcare, education, banking, retail, manufacturing,
and government services.
With rapid advancements in technology, the IT industry has shifted traditional manual
systems into digital platforms, improving accuracy, speed, and accessibility of information.
Innovations such as cloud computing, web applications, mobile technologies, artificial
intelligence, and data analytics have further expanded the scope of the IT industry.
Organizations now heavily depend on IT solutions to enhance productivity, reduce
operational costs, and gain competitive advantage.
In Nepal, the IT industry is growing steadily with increasing demand for software
development, web-based applications, system integration, and digital services. Companies
like Phye Gan Pvt. Ltd. contribute to this growth by providing customized, cost-effective,
and reliable IT solutions tailored to client requirements.
2.2 Other Details Related to the IT Industry
The IT industry is highly dynamic and continuously evolving due to rapid technological
changes. One of its key characteristics is customization, where solutions are developed

aspects, especially when dealing with sensitive data and online systems.
Another important aspect of the IT industry is its contribution to employment and

Phye Gan Pvt. Ltd. is a privately owned IT company based in Nepal, established in the year
2016. The organization was founded with the objective of delivering cost-effective and
value-added information technology solutions while maintaining high standards of quality
and effectiveness. The company focuses on transforming customer requirements into
reliable, efficient, and user-friendly software products.
Within a short period of time, Phye Gan Pvt. Ltd. has successfully served a wide range of
clients by providing innovative IT solutions tailored to their business needs. The company
has earned recognition, particularly in the healthcare sector, by delivering specialized and
customized applications. In addition, it has expanded its services to other industries,
demonstrating flexibility, innovation, and customer satisfaction.
3.2 Goals/ Objectives of The Organization

4.1 System Introduction
The Library Management System is a web-based application developed using [Link] to
automate and streamline library operations. The system is designed to replace manual
record-keeping with a centralized digital platform that ensures accuracy, efficiency, and ease
of management. It supports library administrators in managing books, categories, members,
and book issue and return records in a structured and organized manner.
The system includes a book and category management module that allows administrators to
add, update, and organize books and their respective categories efficiently. A search and
filtering feature is implemented to display books based on category, author, or availability,
making it easier to track and manage resources. This helps reduce errors in book allocation
and improves resource utilization.
A member management module is provided to register library users with necessary personal
and membership details. Book issue and return operations are handled through a controlled
process that tracks due dates, availability, and fines, ensuring accurate and timely updates.
Additionally, the system incorporates a reporting module that generates detailed reports on
issued books, returned books, member activity, and book availability. This enables
administrators to monitor library performance and make informed decisions. Overall, the
Library Management System enhances administrative efficiency, reduces manual workload,
and provides a reliable platform for effective library operations.
4.2 System Analysis
The existing manual library system relies on paper-based registers or basic spreadsheets,
which leads to difficulties in tracking book availability, errors in issuing and returning
books, data redundancy, and time-consuming record maintenance, increasing the workload
for library staff and reducing service efficiency. To overcome these limitations, the proposed
Library Management System is a web-based application developed using [Link] that
provides a centralized platform for managing books, categories, members, and book issue
and return operations. The system allows administrators to add and categorize books,
register members, track book availability in real time, and generate automated reports on
circulation and member activity. It improves accuracy, reduces manual errors, enhances
operational efficiency, and ensures faster, organized, and reliable library management while
being secure, scalable, and user-friendly.
