Choosing the Right Software Application


When selecting software, consider the following questions and factors:

Purpose of the Software


Identify the task: What specific function do you need the software to perform?
Evaluate adequacy: Sometimes, basic software can fulfill your needs. You may not always
require the most expensive or feature-rich option.
Example: Notepad can perform basic text writing, while Microsoft Word offers more
advanced features for the same task. Similarly, Microsoft Paint 3D and Adobe Photoshop
both edit images, but Photoshop is significantly more advanced.

Application Type: Web-based vs. Installed


Web-based Applications:
Run over the internet.
Accessible from any computer with an internet connection.
No download required.
Software is always up-to-date.
No compatibility issues with the local operating system.
Disadvantages: Cannot be used without an internet connection. Performance is
dependent on internet speed and quality.
Examples: Google Suite (Calendar, Hangouts, Drive, Forms, Maps), Office 365, Google
Docs, Facebook apps, Adobe Photoshop Express.
Installed Applications:
Installed directly onto your local hard drive.
Generally do not require a constant internet connection to function (though updates and
verification may).

Software Licensing Models


Traditional Licensing:
User pays a one-time fee upfront.
Allows indefinite use of the software.
Subscription-based Software:
User pays a recurring fee (monthly or yearly) for the use of the software.
Example: Office 365 provides access to an offline version but requires internet connectivity
at least once a month for updates and account verification.

Compatibility
Operating System Compatibility: Ensure the software is compatible with your device's
operating system (e.g., Windows, macOS, Linux).
Example: Huawei's issues with Google Apps made them incompatible with Huawei's

Version Compatibility:

needs to run the software.
Minimum Requirements: The absolute lowest specifications needed for the software to run.
Recommended Requirements: Specifications that allow the software to run at its best
performance.
Example (Photoshop):
Processor: Intel Core 2 or AMD Athlon 64-bit processor, 2 GHz or faster.
RAM: Minimum 2 GB RAM, Recommended 8 GB RAM.
Storage: Minimum 3.1 GB of available hard-disk space.
Display: (Specific resolution/video RAM requirements).
Operating System: (Specific OS versions).
Internet Connectivity: (Often required for activation and updates).

Recommendation: Always try to meet the recommended requirements for optimal


performance.

Types of Application Software


Application software is designed to perform specific tasks.

Productivity Software:
Word Processing: Creating and editing text documents (e.g., Microsoft Word, Google
Docs).
Spreadsheet Software: Performing calculations, data analysis, and creating charts (e.g.,
Microsoft Excel, Google Sheets).
Presentation Software: Creating slideshows and visual presentations (e.g., Microsoft
PowerPoint, Google Slides).
Database Software: Organizing, storing, and retrieving large amounts of data (e.g.,
Microsoft Access, MySQL).
Productivity Software for Mobile Users:

Firefox, Safari, Edge).
Email Software:
Used for sending, receiving, and managing electronic mail (e.g., Outlook, Gmail app, Apple
Mail).
Document Management Software:
Allows for the creation, organization, and management of documents.

Accessibility, Efficiency, and Productivity Enhancing Software:
Voice Recognition Software:

Software Issues and Troubleshooting

Read-only Files
Symptom: A file is set to read-only, meaning it cannot be modified directly.
Troubleshooting:
Copy to Another Location: Copy the file to a different folder or drive and remove the read-
only attribute there.
Save As: Copy the file and save it under a new name, which typically removes the read-
only status.
Network Environments: Be cautious in shared network environments. A read-only file
might be in use by another user. It's often best to copy files from a server to your local
desktop to avoid such conflicts.
Program Recovery: If a program crashes while working on a file, use the program's
recovery feature to reload and potentially save the file.

Bugs
Definition: A bug is an error or flaw introduced into the software during the programming
process. It is not a virus.
Risks:
Data corruption.
Erratic software behavior.
Security breaches.
Mitigation:
Testing: Developers often release beta versions for public testing to identify and report
bugs before the final release.
Updates: Developers continuously release updates to fix bugs and improve software. This
is why keeping software updated is crucial (e.g., WhatsApp's frequent updates).

User-Centered Design
This approach prioritizes the user's needs throughout the software development process.

Principles
Put the user's needs first.
Test the software with real users to gather feedback.
Repeat and refine the design process based on user feedback until a satisfactory product is
achieved.

Design Considerations
Layout and Readability: Avoid overcrowding the interface; group related items logically.
Clear Labels: Use intuitive and understandable labels for functions and options.
Appropriate Colors: Use colors that are visually appealing and not distracting.
Formatting: Employ formatting to emphasize important information or concepts.
Simple, Concise Language: Use clear and easy-to-understand text.

Artificial Intelligence (AI)


AI is a branch of science focused on enabling machines to solve complex problems in a human-
like manner.
Core Concepts
AI involves applying characteristics of human intelligence as algorithms in a computer-
friendly format.
Aim: To improve machine behavior in tackling complex tasks and enable machines to
perform tasks that might require "thinking."

Weather forecasting.
Space exploration.
Driverless transportation.
Chatbots and virtual assistants.

Pros of AI
Increased efficiency.
Reduction of human risk in dangerous tasks.
Aids in decision-making.
Always available (24/7).

Cons of AI

Dependency on Machines: Over-reliance on AI systems.
