Definition of terms
Dictation - Dictation is the act of speaking or recording words so someone else can write them down.
In medical transcription, doctors’ dictations are converted into written reports.
Transcript - A transcript is the written or typed version of spoken words from a recording. Medical
transcriptionists create transcripts from doctors’ audio recordings to keep patient records.
Abbreviation- An abbreviation is a shortened form of a word or phrase. In medical transcription,
abbreviations are used to save time and make reports easier to write.

Important Medical Transcription Tools
1. Headphones
- Headphones are used by medical transcriptionists to listen carefully to
recorded medical reports. They help in reducing background noise and
improving audio clarity. Good-quality headphones allow accurate
transcription of complex medical terminology. They are essential for
maintaining focus and minimizing errors in transcription.
2. Foot Pedal
-A foot pedal is a device that controls audio playback using foot
movements, allowing the hands to remain free for typing. It helps start,
stop, rewind, or fast-forward audio recordings efficiently. This tool
increases productivity and reduces strain on hands. There are two types:
- USB Foot Pedal – Connects directly to the computer via a USB port
and is compatible with most transcription software.
- 15-pin Foot Pedal – Uses a 15-pin connector and may require
specific hardware or drivers to function.
3. Computer

Medical Transcriptionist makes use of the following software:
A computer is the primary device where transcription work is
performed. It runs transcription software, audio players, word
processors, and electronic dictionaries. Computers help in storing,
editing, and managing large volumes of medical reports. A reliable
computer ensures smooth and efficient workflow for medical
transcriptionists.
Medical Transcription Software
Word Processing Software – Programs like MS Word or Open
Office are used for typing and formatting transcribed reports.
Audio Player – Software that plays recorded medical dictations for
transcription.
Electronic Dictionaries – Provide correct spelling and definitions
of medical terms to ensure accuracy in reports.
