Course: Leveraging Generative AI for Maritime business

Learning Outcomes

By the end of this course, participants will be able to:

• Use AI tools (ChatGPT, Gemini, Perplexity, NotebookLM, DeepSeek, Grok, Napkin


AI) to improve efficiency in documentation, analysis, and communication and
understand the advantages/disadvantages of various tools.

• Apply prompt engineering to generate professional, structured, and context-relevant


outputs.

• Conduct faster and more accurate research using AI.

• Analyse and summarise data using AI and generate visual dashboards, reports, and
briefs for management

• Automate repetitive tasks such as drafting emails, vessel summaries

• Generate images and videos

• Use AI responsibly while maintaining data confidentiality and professional standards.

Course Structure (7 Modules- 10hours)

Module 1: Introduction to AI in Maritime Commercial Operations (2 hours)

• Understanding Generative AI and Large Language Models (LLMs).

• Overview of key tools: ChatGPT, Gemini, DeepSeek, Perplexity, NotebookLM, Napkin


AI.

• Real-world maritime applications (relevant use case to be picked up):

o Chartering support

o Market research

o Legal and accounting documentation

o Procurement

• Risks, limitations, and confidentiality in commercial data.


Activity: Group discussion — “Which of our daily commercial tasks are most repetitive or
data-heavy?”

Module 2: Prompt Engineering for Maritime Professionals. (1 hour to 2 hours)

• Generate prompts by participants and show deliverables

• Reviewing the prompts from participants and showing effective prompts for business
communication and analysis.

• Structuring AI queries for accuracy, consistency, and professionalism.

• Creating reusable prompt libraries for each department (chartering, accounts, legal,
HSEQ, Technical).

• Live examples:

o Voyage estimate summary

o Clause extraction

o Generate SOP

o Legal clause simplification

Exercise: Rewrite weak prompts into powerful task-specific ones for a voyage fixture and
legal summary.

Module 3: Research using AI and presenting it (PPT, webpage or report) (1hour)

• Research on specific vessel size/trade route and generating reports

• Discussing most relevant AI tools for research and there usage

• Using relevant tools to generate/beautify PPT/webpage or report

• Automating daily or weekly market reports using AI templates.

• Using Notebook LLM for structured storage and Q&A on past fixtures.

Exercise: Generate a daily vessel list with key highlights and email-ready summary using AI.

Module 4: How to analyze data and summarize information using AI Applications (30mnts
to 1hour)

• Drafting and reconciling excel/CSV statements and generate reports (e.g – Using hire
statements to generate freight invoices)
• Extracting terms, clauses, deadlines or similar info from relevant documents like a
circular, govt. notification, email, C/P etc.

• Creating quick summaries and correspondence drafts.

• Automating document version tracking and comparison.

• Using Notebook LM for contract-based queries.

Exercise: Use AI to summarize a 10-clause charter party into a 1-page management brief.

Module 5: How to generate image and video(1 hour to 2 hour)

• Translate your thoughts to depict your requirement at a fundamental level basis

• Generate an image which could be used for various purposes officially or
personally
• Images that can be used in safety circulars or sharing incident depictions
• Images/videos for short training videos- Do’s and Don’ts
• Can also convert processes/procedures in summary Videos

Module 6: Integrating AI tools and creating Maritime Workflows (1 hour )

• Integrating AI tools into daily workflows.

• Using Napkin AI and Notebook LM for report generation and knowledge


management.

• Team prompt banks and shared dashboards for seamless collaboration.

• Future outlook: AI-driven decision support and predictive chartering insights.

Capstone Project: Design a 1-page “AI-Enabled Workflow” for your role — e.g.,

• “AI-based Market Summary & Fixture Tracker”

• “Automated CP Clause Review Template”

• “AI Hire Calculation Validator”

Module 7 Responsible & Secure Use of AI (30mnts to 1hour)

• Understanding data security and non-disclosure while using AI.

• Recognizing hallucination risks and validation techniques.


• Ethical considerations when using client or market data.

• Setting company-level guidelines for safe AI use in commercial communication.

Case Study: “Should a broker use ChatGPT to draft a recap email to a client using internal
fixture data?”
