Comments
In PowerPoint, "Comments" refers to thoughts or explanations given to a
slide or a specific part of a slide. This serves various purposes:
The importance of comments
o Providing Additional Information: When the information on a slide is concise,
you can use comments to add further explanations or detailed information.
o Collaboration: When working on a presentation with others, comments can be
used to give feedback on a slide or to ask a question about a specific part.
o Reminders: If you want to remind yourself of something, for example, an idea
or a point you need to address, you can create a comment.
o Feedback: When you send your presentation to someone else, they can
provide thoughts or revisions using comments.
How to add comments ?
To insert a comment in PowerPoint, you can follow these steps:
➢ Select the slide you want to comment on, or select the text or
image within the slide.
➢ Click the "Review" tab. ⭢ Click "New Comment" ⭢ Type your
Comment:
A small comment box will appear. Type your thoughts or explanations
in it.
➢ When you're finished, click anywhere inside the comment box or
click outside the box.
Header, Footer & Slide Nuamber
In Power Point, "Headers" refers to text or information in the
upper section of each slide or printed handout.
1- On the top of the PowerPoint screen:
➢Insert ⭢ Text ⭢ Header & Footer ⭢ Slide ⭢ Select "Date and time" ⭢
Choose "Update automatically" or "Fixed".
This can appear at the top or bottom.
➢Once you're done ⭢ Click "Apply to All".
2- On the top of the PowerPoint screen:
➢View ⭢ Master Views ⭢ Slide Master ⭢ Master Slide

PowerPoint – Export
In PowerPoint, "Export" refers to the function that helps you convert your
created presentation from its PowerPoint file format to another format or file
type. This means it allows your presentation to be opened or used by other
applications or tools, not just PowerPoint.
o Printing:- Because it's an easier format for printing.
o Sharing:- To share your file in a fixed format.
o Preserving Layout:- To ensure that the font or design remains
unchanged when the file is transferred to another computer.
Convert to PDF:
There are two main ways to convert a PowerPoint presentation to PDF.
1– Using the “Export”
* Open your file :- “Power Point” (PPT),
* Click the “File” Tab ⭢ Select “Export” ⭢ Click Create “PDF or XPS”

* Choose Location and Name ⭢ Click Publish
2 :- Using “Save As”
* Open your file Power Point (PPT)
* Click the “File” Tab ⭢ Select “Save As” ⭢ Choose a Location
(folder) ⭢ drop-down and select "PDF (pdf) ⭢ Click the “Save”
Convert to Images :-
• For Websites or Blogs:- To publish your slides as images on a website or
blog.
• For Social Media Sharing:- To present an important slide as an image on
Facebook, Twitter, Instagram, or other social media.
• As a Background:- To use the image as a background on another slide or
your desktop.
• Preserving Layout:- To ensure that the slide's design or font remains
unchanged.
• Smaller File Size:- When sharing only one slide as an image, it becomes a
smaller file, making it easy to send via email.
How to Convert to Images ፦
To convert a PowerPoint presentation into images, you can
follow these steps:
➢ Open your file :- “Power Point presentation” (PPT) ⭢ Click
the “File” tab ⭢ click "Export" ⭢ Click Change File Type ⭢
Select an Image File Type (image formats ፡- jpg, Png, gif, tif, bmp)
➢ Choose Location and Name ⭢ click "Save"

How to converting powerpoint to Video ?
convert a PowerPoint presentation into a video, you can follow these
steps:
➢ Open your file Power Point presentation. (PPT)
• You can add your narration to each slide:
➢ Go to "Slide Show" ⭢ click "Record" (You will record your voice
there).
• To set the duration for each slide:
➢ Go to "Transitions" ⭢ in "Advance Slide," select ⭢"After" (You
can set the time in seconds).
➢ In the top-left corner of PowerPoint ⭢ click the "File" tab.
➢ Select ⭢"Export" ⭢ Click Create a Video :
➢ Choose Video Quality :- (quality options ፡- Ultra HD (4K ), Full
HD (1080p), HD (720p), Standard (480p)
• If you have recorded voice or timings:
➢ Select "Use Recorded Timings and Narrations."
• If you select "Don't Use Recorded Timings and Narrations":
➢ PowerPoint will ask you to determine how many seconds each
slide should remain on screen.
• Defaultly, it might be 5 seconds per slide. There will be an option
"Seconds spent on each slide."
➢ When you are finished ⭢ click the "Create Video" button.
➢Choose ⭢ “folder” ⭢ right file name ⭢ Save as type"
