Power BI - Tools and Functionalities


Power BI is a Data Visualization and Business Intelligence tool by Microsoft that converts
data from different data sources to create various business intelligence reports. It provides
interactive visualizations using which end users can create reports and interactive
dashboards by themselves. It is highly recommended to download Power-BI tool before
proceeding further. Navigating Power BI: Power BI provides a plethora of various tool
and services to make creative, interactive and intelligent Business Reports.

On following the above steps, the dataset will be uploaded and a window will pop up. This
window is called the Query Editor.

Note: If the Query Editor window does not pop up automatically. Just click on Transform
Data in the above Navigation panel.

What is Query Editor? Query Editor in Power BI is used to edit or format the data
files before they are loaded into the Power BI Model. The Query Editor plays the role of
an intermediate data container where you can modify data type or the way the data is stored
by selecting the particular rows and columns

Views in Power BI There are 3 different types of views in Power BI. You can switch
between the 3 views using Navigation Pane.

1. Report View:
 Report view is a section of Power-BI where you can create any number of report
pages with visualizations.
 This view provides a designing environment where you can move visualizations
around, copy and paste, merge, and so on.
 You can add one/multiple pages here for various visualization of BI-Reports.
Data View:
 Data view is a section of Power-BI that helps you inspect, explore, and understand
data.
 It's different from how you view tables, columns, and data in Power Query Editor.
 With Data view, you're looking at your data after it has been loaded into the
model.
Relationship View (Model View):
 Model view shows all of the tables, columns, and relationships in your model.
 This view can be especially helpful when your model has complex relationships
between many tables.

The Power-BI provides various tools and services:


1. Modelling Ribbon: You can perform various functionalities using this panel.
 Upload datasets.
 Make calculations.
 Edit data types.
 Format data category for a column.
 Insert visualizations.
2. Fields list: This list contains elements of your uploaded dataset. You can select a table
or column to view in the data grid.
3. Navigation Pane: This panel controls the different views of Power BI
(Report/Data/Model).
4. Visualization Pane: There are many different types of visualizations in Power-BI that
help depict your report in various ways. This panel provides over 30 visualizations.
More custom visualizations could be found online as well.

Visualization
 A visualization is a visual representation of data, like a bar graph, pie chart, a color-
coded map, or other through which you can visualize the data.
 The following image shows a collection of different visualizations that are there in the
Power BI.

 A Dataset is a collection of data or a container of data that is used by


PowerBI to create visualizations.
 A Dataset is something which you import or connect to.
 Datasets can be renamed, refreshed, removes, and explored.

 A report is one or more pages of interactive visuals, text, and graphics
that makes up a single report.
 All of the visualizations in a report come from a single dataset.

Dashboards:
 A dashboard represents a customized view of some subset of the underlying
dataset(s).
 A dashboard is a single canvas that has tiles, graphics, and text.
 Purpose of Dashboards is to
o get all the info at one place, needed to make decisions.
o to monitor the most-important info about your business.
o to ensure all colleagues are on the same page.
o to monitor the growth of a business or product.

Introduction to Tableau
Tableau is a powerful tool used for data analysis and visualization. It allows the creation of
amazing and interactive visualization and that too without coding. Tableau is very famous
as it can take in data and produce the required data visualization output in a very short
time. Basically, it can elevate your data into insights that can be used to drive your action in
the future.

Tableau is a visual analytics platform that is revolutionizing the way we use data to solve
problems by enabling individuals and organisations to make the most of their data.

Why use Tableau?


Tableau is the fastest and most powerful visualization tool. It is very easy to use. There are
no complex formulas like Excel and other visualization tools. It provides the features like
cleaning, organizing, and visualizing data, it easier to create interactive visual analytics in
the form of dashboards. These dashboards make it easier for non-technical analysts and
end-users to convert data into understandable ones.

Tableau Features
 Tableau supports powerful data discovery and exploration that enables users to answer
important questions in seconds
 No prior programming knowledge is needed; users without relevant experience can start
immediately with creating visualizations using Tableau
 It can connect to several data sources that other BI tools do not support. Tableau
enables users to create reports by joining and blending different datasets
 Tableau Server supports a centralized location to manage all published data sources
within an organization
Values in Tableau

There are two types of values in the tableau:


 Dimensions: Values that are discrete(which can not change with respect to time) in
nature called Dimension in tableau. Example: city name, product name, country name.
 Measures: Values that are continuous(which can change with respect to time) in nature
called Measure in tableau. Example: profit, sales, discount, population.
Advantages of Tableau
 Quick calculation- All the calculations on the tableau done by the backend, so it is
relatively faster than any other tool.
 Interactive dashboards- Tableau dashboards are very interactive and easy to draw.
 No manual calculation- All the calculations are done by the tableau only. There is no
manual calculation, but in some specific cases, we used calculated fields for calculation.
 A large amount of data- Tableau can handle a large amount of data. Different types of
visualization can be created with a large amount of data without impacting the
performance of the dashboards .

Disadvantages of Tableau
 High Cost- tableau is a paid tool for visualization, and it is a reason why people are not
using tableau so much.
 Static and single value parameters- Tableau’s parameters are static and always single
value can be selected using a parameter. Whenever the data gets changed, these
parameters need to be updated manually every time.
 Limited Data Preprocessing- Tableau is strictly a visualization tool. Tableau Desktop
allows you to do very basic preprocessing.
Visualizations in tableau
There are a lot many charts available in the tableau. Some of them are:
 Bar chart: For the bar chart, we need 0 or more dimensions and 1 or more measures.
To create a bar chart, simply select the desired dimensions and measures and then select
the bar chart on the SHOW ME section, or drag the dimensions in a column and
measure in a row.

 Pie chart: For the pie chart, we need 1 or more dimensions and 1 or 2
measures. To create a pie chart, simply select the desired dimensions
and measures and then select Pie chart on the SHOW ME section.

 Stacked bar chart: For the stacked bar chart, we need 1 or more dimensions and 1
or more measures. To create a stacked bar chart, simply select the desired dimensions
and measures and then select the stacked bar chart on the SHOW ME section.

 Side-by-side bar chart: For the side-by-side bar chart, we need 1 or more
dimensions and 1 or more measures. To create a side-by-side bar chart simply select the
desired dimensions and measures and then select a side-by-side bar chart on the SHOW
ME section.

 Line chart: For the line chart, we need 1 date, 0 or more dimensions, and 1 or more
measures. To create a line chart, simply select the desired dimensions and measures and
then select the line chart on the SHOW ME section.

 Packed bubbles chart: For the packed bubbles chart, we need 1 or more dimensions
and 1 or 2 measures. To create a packed bubble chart simply select the desired

1. Connect to Data Source


The first step is to connect the data source to Tableau. Tableau can connect to nearly every
data sources like text files, relational sources, SQL sources, or cloud databases, etc. There
is an inbuilt connector in Tableau to establish a link with data sources.
2. Build Data Views
The next step is to build views, which are also known as reports. After connecting to the
data source, we have columns of data set in the Tableau environment. There is a certain
drag and drop feature in Tableau to build views.
3. Enhance the Views
Now views are created, the next step is to enhance them further by using filters,
aggregations, labeling of axes, formatting of colors and borders, etc.
4. Create Worksheets
On worksheets, we can build different views of the data set. All analyzes of the data set are
performed on worksheets.
5. Create and Organize Dashboards
The dashboard is built by linking more than one worksheet. The worksheets must be
organized properly so that the Dashboard will look informative and attractive.
6. Create a Story
When a sheet containing a sequence of worksheets or dashboards come together to convey
information, it is known as Story. Stories are created to show how facts are connected,
provide context, demonstrate an analyzed report, etc. It is the last step of the Tableau
design flow diagram.
