DAILY EXPENSE MANAGEMENT 2025-2026
ABSTRACT:
The Daily Expense Management System is designed to help users track and manage their daily
financial activities efficiently. Built using PHP for backend processing and a relational database
such as MySQL for data storage, this system provides a user-friendly platform for recording,
categorizing, and analyzing expenses. Users can input their daily expenditures, which are then
stored in the database, allowing for easy retrieval and reporting. The system categorizes
expenses into predefined or user-defined groups, offering insights into spending patterns
through visual reports and summaries. With features like secure login, data filtering, and
summary generation, this system aims to improve financial awareness and aid users in better
budgeting and financial planning. The combination of PHP and a robust database ensures
efficient data handling, quick response times, and scalability for long-term use.
INTRODUCTION:
We are developing an php application named as "Expense Tracker" and this application is used
to manage the application user's daily expenses in a more efficient and manageable way. By
using this application we can reduce the manual calculations for their daily expenses and keep
the track of the expenditure. In this application, user can provide his income to calculate his
total expenses per day and these results will stored for unique user. This application has many
limitations which can be overcome in future. The main purpose of this application is to track
all the expenses made by a user. The user can generate report of his expenses based on the
transaction date of the expenses or category of items. This application will be deployed on
separate web server and application server. And for load balancing, it will be deployed on two
web servers and application servers. This Expense Tracker application falls in the Finance
Category and serves the important purpose of managing finances which is a very important
part of one's life. The software product went through the design, development, and the testing
phase as a part of the Software Development Lifecycle. The application's interface is designed
using custom art elements, the functionality is implemented using php, and the phase of testing
the product was accomplished successfully. The application is not much user intensive but just
comprises of having them enter the expense amount, date, category, merchant and other
optional attributes (taking picture of the receipts, entering notes about the expense, adding
subcategories to the categories). With this entered information, the user is able to see the
expense details daily, weekly, monthly, and yearly in figures, graphs, PDF format, and can print
them as well if a printer is detected or scanned nearby. All these topics have been explained in
detail in their respective chapters. The aim of this is to provide a solution for this application
users on how to manage finances in any circumstance by keeping track of their expenses every
day. Ultimately, this contributes to societal well-being. Expense tracker is complete to track
your all the expenses bared by your pocket or based by you & manage your personal finance.
So that you can trace where your money goes as well as from where money comes in, you can
limit & plan accordingly.

OBJECTIVE:
Financial Automation: To eliminate the need for manual income and expense calculations,
allowing users to efficiently and reliably track all daily financial activities.
Data Organization and Retrieval: To securely store daily expenditure data using a relational
database (MySQL) and PHP, ensuring easy data retrieval and reporting for a unique user.
Categorization and Analysis: To allow users to categorize expenses (using predefined or user-
defined groups) and analyze spending patterns through visual reports, figures, and graphs
(daily, weekly, monthly, and yearly).
Reporting and Budgeting: To enable users to generate comprehensive reports (including PDF
format) of their expenses based on transaction date or item category, thereby improving
financial awareness and aiding in better budgeting and future financial planning.
Enhanced Functionality: To implement a robust system with essential features like secure
login, data filtering, subcategories, and future-ready capabilities such as shared expense groups
and notification systems.

METHODOLOGY:
1. Requirement Analysis
In this phase, the system requirements are gathered and analyzed. The main objective is to
understand the functional and non-functional needs of the system.
Identify user requirements such as expense entry, income tracking, category creation,
and report generation.
Define hardware and software requirements.
Establish performance, scalability, and security goals for the application.
2. System Design
After requirements are finalized, the overall architecture of the system is designed.
Frontend Design: Focuses on user interface (UI) and user experience (UX) design,
ensuring simplicity and accessibility.
Backend Design: Includes structuring the server-side logic, database schema, and data
flow between modules.
Data Flow Diagrams (DFDs) and ER Diagrams are created to represent data
relationships and process flows.
3. Frontend & Backend Development
This phase involves the actual coding and development process.
Frontend: HTML, CSS, JavaScript, and Bootstrap are used to design an interactive and
responsive interface.
Backend: PHP is used for server-side scripting to handle logic, user authentication, and
data processing.
Focus is given to security (login authentication) and smooth user interaction.
4. Database Integration
A relational database, MySQL, is integrated to store and manage application data.
Database tables are created for users, income, expenses, and categories.
Data validation and SQL queries are implemented for efficient data storage, retrieval,
and manipulation.
Relationships are defined using primary and foreign keys to ensure data consistency.
5. Feature Implementation
The core functionalities of the system are developed and implemented:

Add, view, edit, and delete expenses and income.
Categorize expenses and income under predefined or user-defined categories.
Generate reports in daily, weekly, monthly, and yearly formats.
View graphical summaries and export data in PDF format.
6. Testing & Debugging
The system undergoes rigorous testing to ensure reliability and performance.
Unit Testing: Each module is tested individually.
Integration Testing: Ensures all modules work together seamlessly.
User Acceptance Testing (UAT): Validates that the system meets user expectations.
Errors and bugs found during testing are fixed to enhance system stability and
efficiency.
7. Deployment & Documentation
Once testing is complete, the application is deployed on a web server.
The system is hosted on two web servers and application servers for load balancing and
better performance.
Documentation is prepared, covering user manuals, installation procedures, and
maintenance guidelines.
CONCLUSION:
Tracking your expenses daily can save your amount, but it can also help you set and work for
financial goals for the future. If you know exactly where your amount is going every month,
you can easily see where some cutbacks and compromises can be made and are possible. The
project what we have developed works more efficient than the other available income and
expense tracker. The project successfully avoids the manual calculation for avoiding
calculating the income and expense per month and save time of user. The modules are
developed with efficient, reliable and also in an attractive manner.
FUTURE SCOPE :
In the future, The Online Income and Expense Tracker application can be further enhanced to
include following features:
The application can be extended to include scanning of barcode on the price tag which
decreases the effort of entering the data in the input fields. Group: Apart from keeping a
personal log, we are planning to extend this system to incorporate a shared expense group.

The application can be designed in a way as to create a monthly analysis and report of the user's
income and expenses to provide better understanding to the user and gain control of his or her
expenditure.
A notification system can be enabled in case when the expenses crosses over the income
generated by the user to warn him or her about the situation
