INFORMATION ON ATTACHMENT (IA, EIA, IRA)

IMPORTANT: 1. Depending on various Schools requirement, students may or may not be allowed to do their IA in their final semester. Students who choose to do IA in their final semesters and if their IA end later than the official end date (25 June 2011 for IA in S2, AY 2010/2011), they will not be able to attend the convocation in July that year. These students will still graduate and be conferred their degree after successful completion of their IA. They can join the following years convocation by informing OAS. 2. Students are not allowed to do IA concurrently with Final Year Project (FYP) during the whole FYP period except for ABP students. 3. Each student is only allowed to do one attachment option from IO/IA/EIA/IRA/GIP Work & Study Programme/GIP Research. The work component in GIP Work & Study Programme is towards fulfilling the requirement for attachment for the respective courses. 4. Students are not allowed to read courses during attachment. Students on IA in Semester 1 are not allowed to read courses during Special Term II. Students on IO/IA/EIA/IRA/GIP Work and Study Programme/GIP Research in Semester 2 are not allowed to read courses during Special Term I and Special Term II (for EIA/IRA). 5. Students on attachment are not allowed to shift their attachment period, take leave or end their attachment earlier to participate in the Summer Programmes, Work & Travel, other internships, read courses etc.

OBJECTIVES OF ATTACHMENT In the curriculum structure at NTU Engineering students must successfully complete one of the attachment programmes before their graduation. The attachment programme is graded and considered as partial fulfillment for the Bachelor of Engineering degree courses at NTU. The purposes of attachment are to supplement NTU's in-house practical professional training and to instill in the students the right work attitudes and professionalism so that they could become effective and productive to their respective organisations much sooner than is usual for fresh graduates. Attachment is a learning process which by exposing the students in real life working environment as part of an academic curriculum helps the students to develop and enhance academic, personal and professional competencies. Due to the diversity of the training environments and backgrounds of organisation supervisors, a significant part of the attachment programme is based on a selfdirected learning approach by the students. Organisations participating in our attachment programmes are required to provide a structured attachment programme with emphasis on applications, management and hands-on experience for the students to: (a) (b) (c) (d) apply knowledge learned acquire practical skills strengthen work values gain interpersonal skills

DEFINITION/TERMS FOR PARTICIPATING IA ORGANISATIONS & PROJECTS OFFERED During the period of Registration for IA and Selection of IA Organisations, students who are eligible or likely to be eligible for attachment will be given access to view the list of organisations and the projects they offer for IA under Search for Attachment Projects. Participating organisations are classified as: 'Overseas' 'Interviewing' 'Noninterviewing' One which offers overseas IA placement(s). One which wants to select suitable students by 'interview' or other means. One which does not require selection of students by interview or other means.

Each organisation will have a code number (Organisation code). The projects by participating organisations will be classified by field of engineering (Field code) and work nature (WN code). Each project will also have a code number (Project code) which is unique for the course. The fields of engineering and work nature for each of the courses are as follows:

REGISTRATION FOR IA & SELECTION OF IA ORGANISATIONS 1. Every student, who is eligible or likely to be eligible for IA, MUST register for IA if he/she wants to do IA. The registration for IA is done through the Selection of IA organisations/ projects. To register for IA, you have to Step 1 - Fill in the on-line Student Data Sheet for IA Step 2 - Prepare your resumes. Step 3 - Search for IA organisations & their projects you are interested in. Step 4 - Register for IA by keying in your choices of organisations and their respective field of engineering, work nature and project codes your prefer, and other relevant information via Attachment & Selection of Organisations/Projects for IA. 3. You are allowed to select up to 9 choices (in the order of priority) as follows: School CEE EEE MAE SCE MSE SCBE (CBE) MUST be a local interviewing or overseas organisation can be a local interviewing, noninterviewing or overseas organisation non-interviewing organisations only must not contain more than two projects from the same non-interviewing organisations local interviewing organisations only must not contain more than two projects from the same local interviewing organisations 1st choice 2nd to 9th choice

SCBE (BIE)

MUST be a local interviewing or overseas organisation

It is not compulsory for you to fill in all the choices if the projects are not of your interest. For MSE and CBE, you can forfeit your 1st choice by not selecting any local interviewing or overseas organisation. For each choice, please check carefully the organisation code and the field of engineering, work nature and project code you prefer and key in the respective codes. Please refer to the Definition/Terms for Participating IA Organisations & Projects Offered for the fields of engineering relevant to your course of study. A Data Entry Guide (in Attachment Registration & Selection of Organisations/Projects for IA) has been prepared for you to note down the relevant code numbers while searching for attachment projects before keying in your choices. Please print a copy for use. 4. If you have received approval to take up the IA placement sourced by yourself, you only need to register for IA without having to key in any selection of IA organisation/project. CAO will update you to the approved placement. 9

If you have submitted (but yet to receive approval) or intend to submit a self-sourced application, you will not be allowed to select any local interviewing or overseas organisation publicised by CAO. By applying to a local interviewing or overseas organisation publicised by CAO, your selfsourced application will be void. If you are applying to overseas IA and/or local interviewing organisation, please use 'Create/Update Resume(s) for IA' option in the IA module to prepare the resumes first. You will be prompted to attach the appropriate resume if you have selected overseas IA and/or local interviewing organisation. Interviews by the organisation will be conducted during the 2nd week of May (for IA in S1) or last week of September (for IA in S2). For S2, AY 2011/2012, interviews by the organisation will be carried out from 26 to 30 September 2011 (main period) or other dates proposed by the organisations. Interview schedule for interviewing organisations for either local or overseas IA placement will be updated by the organisations concerned directly. An email will be sent to you NTU email account directly as and when the organisation enters the interview schedule in the system. Please check your email regularly for updates if you have selected an interviewing organisation. Alternatively, you can also logon to StudentLink to check the status of your application.

why they do not shortlist a certain student for interview and/or why they do not select a student after the interview.

We may need to contact you urgently on matters relating to Industrial Attachment. Please note that a) if you do not key in any information at all under the "Attachment Registration & Selection of Organisations/Projects for IA" option in StudentLink on web by the closing date and time for your School, you will be deemed as not registered for IA and hence will not be allocated any IA organisation. if you do not meet the pre-requisite for IA after the release of examination result, you will not be allowed to go for IA even though you have registered for IA. the final IA project may be modified or change due to organisations needs.

RULES ON ALLOCATION OF IA ORGANISATIONS/PROJECTS (NOT APPLICABLE FOR BIE) 1. The allocation of IA organisation/project is done by computer matching based on the students choices. The computer matching will be carried out after the selections by interviewing organisations (for both overseas and local IA) have been finalised. Please note that your first choice, if it is a local interviewing or overseas organisation, will be forfeited under the following situations: a) b) c) if you are shortlisted for an interview (for local or overseas IA) but you fail to turn up for it. if you are selected for overseas IA but you reject the offer. if you are selected by local interviewing organisation but you reject the offer.

Your first choice will be deleted and treated as void. Only your 2nd to 9th choices will be used for computer allocation. 3. The whole allocation procedure will consist of the following steps: a) Manual Allocation by CAO Students who are in the following categories will be allocated by CAO to their respective IA organisations and projects: i) ii) iii) sponsored students who are required to do their IA with their sponsors. students who are successful in their applications for overseas IA or IA with local interviewing organisations. students who have secured their own placements (approved cases only).

b) Verification of Students' Choices Every student's choices will be verified, by the computer programme, against the respective organisations' requirements (if any) on i) whether the project requires the candidate to have certain attributes which are more prominent in male or female students. ii) whether the project content is security sensitive and hence can only be offered to students of a certain nationality. iii) whether the project requires the candidate to have some relevant working experience and hence is more suitable for students with polytechnic background. iv) whether the organisation accepts students who are sponsored by, and hence are bonded to, other organisations. Students are advised to look up for such requirements which will appear: in brackets under the organisation name when you search for the projects by Field, Field and Work Nature or Browse the list of projects. as Remarks for each of the projects when you search for the project by Organisation Name or when you click specific Project Code in any listing for details. 11

Choices that do not meet the organisations' requirements will be deleted by the computer programme. Subsequent choices will be shifted forward accordingly for the System Allocation. Organisations are also asked to indicate the types of attributes, knowledge or skills which the student should have in order to handle the project. Such requirements are stated as Project Pre-requisite. Though such Pre-Requisites are not used as criteria in the Verification of Choices or the System Allocation, students are advised to check and satisfy themselves that they possess the necessary attributes, knowledge or skills or are able to acquire the necessary attributes, knowledge or skills before the commencement of IA or during the early part of IA. c) System Allocation - Based on Students' Choices The system allocation of organisation is done by computer matching based on the students choices. The computer matching will be carried out after the selections by interviewing organisations (for both overseas and local IA) have been finalised. The matching will be done based on the students' choices. For each of the choices, in the order of priority, the computer matching programme will check for exact match based on Organisation / Field / Work Nature / Project codes. d) Phase 2 selection for students who are not successful in the System Allocation based on their choices Students who are not successful in the system allocation based on their choices will be given the list of projects that are still available to choose from on a first-come-first-serve basis. 4. The full allocation result will be announced to you through StudentLink in June for IA in Semester I and in December for IA in Semester II. For S2, AY 2011/2012, the full allocation result will be announced on 27 December 2011. The final IA project may be modified or change due to organisations needs.

Your next choice (if available) will be used when your earlier choice is not successful. 3. Students who are not shortlisted/selected by the interviewing organisation will be given the list of projects that are still available to choose from on a first-come-first-serve basis during the Phase 2 selection. 4. The full allocation result will be announced to you through StudentLink in June for IA in Semester I and in December for IA in Semester II. For S2, AY 2011/2012, the full allocation result will be announced on 27 December 2011. The final IA project may be modified or change due to organisations needs.

INDUSTRIAL ATTACHMENT FOR STUDENTS ON ACADEMIC EXCHANGE The registration for IA will be in the 1st week of April for IA in Semester I and mid September for IA in Semester II. The registration for IA is done through the Selection of IA organisations/ projects. Please refer to Section F on Registration for IA & Selection of IA Organisations (page 9 to 10) for details. Please note that if you choose an organisation which requires an interview (you are only allowed to choose one interviewing organisation and it has to be entered as your first choice), all interviews must be conducted by 2nd week of May for IA in Semester I and last week of September for IA in Semester II. For S2, AY 2011/2012, interviews by the organisation will be carried out from 26 to 30 September 2011 (main period) or other dates proposed by the organisations. It will be entirely up to the organisations whether they want to consider your application if you are unable to attend a face-to-face interview. Please also keep us informed if your academic semester is such that it ends after the start of IA so that we could seek approval from your School to adjust your IA period and inform your IA organisation accordingly.

RULES ON SOURCING FOR YOUR OWN ATTACHMENT PLACEMENT IN SINGAPORE (Industrial Attachment and Enhanced Industrial Attachment) Students are allowed to source for their own Industrial Attachment placements in Singapore. For Enhanced Industrial Attachment, it is only offered in Semester 2 and students have to source for their own placements. The placement secured by the student MUST meet the following conditions before it can be considered as an attachment placement: a) the organisation is not an existing participating organisation in our last IA programme. Click HERE to see the list of organisations which DO NOT qualify for Sourcing for Own attachment Placement (IA and EIA) scheme for AY 2011-2012. the organisation and the training programme/project it offers is accepted by the relevant School. the organisation is able to provide supervision and conduct assessments on the student during the attachment according to NTU's Attachment Assessment System. the duration of the attachment meets the course requirement on the various attachment programmes. the organisation indicates its preference to have the particular student as the attachment student. the student is not associated with the company and has no immediate family members, close relatives or friends either working in the organisation or is/are director(s) or substantial shareholder(s) of the organisation which may give rise to conflicts of interest.

Please note that the acceptance of the company and its project for attachment and the allocation of the student concerned to take up the placement secured is subject to the final approval by the Industrial Attachment Steering Committee. Students who received approval to take up the IA placements sourced by themselves only need to register for IA without having to key in any selection of IA organisation/project. CAO will update the students to the approved placements. if the student has submitted or intends to submit a self-sourced application, he/she will not be allowed to select local interviewing or overseas organisation publicised by CAO. By applying to a local interviewing or overseas organisation publicised by CAO, his/her selfsourced application will be void. Students are only allowed to submit one self-sourced application at a time. Students are not allowed to submit another self-sourced application if their applications are approved by the School. RULES ON SOURCING FOR YOUR OWN OVERSEAS ATTACHMENT PLACEMENT (Industrial Attachment and Enhanced Industrial Attachment)
This only applies to students who are Singapore Citizens or Singapore Permanent Residents. Enhanced Industrial Attachment is only offered in Semester 2. Students who are Singapore Citizens or Singapore PRs are allowed to source for their own overseas attachment placements. If you want to source for your overseas attachment placement by yourself, you could 1) engage the service rendered by a suitable attachment placement agency, such as Academic Cultural Exchange Pte Ltd or Speedwing Training Ltd (representing Council on International Education Exchange (CIEE) in Singapore), to find overseas placements. If the placement secured meet the following conditions, it can be considered, subject to approval, as attachment placement:

the organisation and the training programme/project it offers are accepted by the relevant School. the organisation is able to provide supervision and conduct assessments on the student according to NTU's Attachment Assessment System. the duration of the attachment meets the course requirement on the various attachment programmes.

Please take note that student may be required to pay a fee to the attachment placement agency concerned. Students are advised to check with the agency concerned directly before committing themselves. 2) proceed to secure the overseas placement through your own means of contact.

The placement secured by the student MUST meet the following conditions before it can be considered as an attachment placement: a) the organisation is not an existing participating organisation in our last IA programme. Click HERE to see the list of organisations which DO NOT qualify for Sourcing for Own attachment Placement (IA and EIA) scheme for AY 2011-2012. Students who are interested to do their attachment in China (Beijing, Shanghai, Suzhou, Tianjin), India, Indonesia and Vietnam are strongly encouraged to apply to the Global Immersion Programme (GIP). Students who do not apply through GIP but would like to source for their own placements in China (Beijing, Shanghai, Suzhou, Tianjin), India, Indonesia and Vietnam are not allowed to approach companies participating in GIP. If the placements of non-GIP companies are subsequently approved, the students will be considered as undergoing Overseas Attachment and not GIP and hence will not be involved in the official activities organised for GIP students as part of the Global Immersion Programme. b) c) the organisation and the training programme/project it offers is accepted by the relevant School. the organisation is able to provide supervision and conduct assessments on the student during the attachment according to NTU's Attachment Assessment System. the duration of the attachment meets the course requirement on the various attachment programmes.

the organisation indicates its preference to have the particular student as the attachment student. the student is not associated with the company and has no immediate family members, close relatives or friends either working in the organisation or is/are director(s) or substantial shareholder(s) of the organisation which may give rise to conflicts of interest.

Please note that the acceptance of the company and its project for attachment and the allocation of the student concerned to take up the placement secured is subject to the final approval by the Industrial Attachment Steering Committee. Students who received approval to take up the IA placements sourced by themselves only need to register for IA without having to key in any selection of IA organisation/project. CAO will update the students to the approved placements.

if the student has submitted or intends to submit a self-sourced application, he/she will not be allowed to select local interviewing or overseas organisation publicised by CAO. By applying to a local interviewing or overseas organisation publicised by CAO, his/her selfsourced application will be void.
Students are only allowed to submit one self-sourced application at a time. Students are not allowed to submit another self-sourced application if their applications are approved by the School. OVERSEAS IA 1. Every year CAO contacts suitable local and overseas organisations to source for overseas placements for our students. NTU also has exchange programmes with some overseas universities. Under such exchange programmes, the overseas universities will assist to find suitable placements for our students in their countries. These placements will be announced during the period of Attachment Registration & Selection of organisations/projects for IA. If you are applying to overseas IA, please use 'Create/Update Resume(s) for IA' option in the IA module to prepare the resumes first. You will be prompted to attach the appropriate resume if you have selected overseas IA. The selection criteria are as follows: a. Eligibility for consideration will depend on academic merit, personal qualities and other selection criteria adopted by the different Schools in NTU, and participating host universities and organisations.

b. International students are eligible to do one overseas programme (up to one semester), either for INSTEP, overseas attachment, etc. c. The number of placements for Singaporeans and international students of all nationalities will be dependent on the ratio of Singaporean to international student enrolment for the year.

The Rules on Registration for IA & Selection of IA Organisations/Projects and Rules on Allocation of IA Organisations/Projects given in the Information on Attachment apply. Please read through the rules carefully before you proceed. Students will normally be paid an allowance which is guided by prevailing norms within the industry in the country of attachment. Different organisation may also offer different package to cover (or not cover) the costs of airfare, accommodation, insurance (medical / personal accident / travel) and other expenses (eg meals, transportation etc) during the overseas attachment. Students are advised to take these into consideration when applying for the placement. Other possible source of financial assistance is: a) Overseas Student Programme (OSP) Loan or Travel Award, administered by Office of Admissions and Financial Aid, available for application. NS TRAINING DURING ATTACHMENT All students must refer the notices of NS Training to CAO, NTU within two weeks of the receipt of the notice. Students should write directly to their units to apply for deferment of their NS training as soon as they have been notified of their NS Training. A letter to certify their status as a student of NTU must be attached. You can obtain a certification letter from the Office of Academic Services, Student Services Centre, Level one. Copies of the letter to the units for deferment and results of the deferment application must be submitted to CAO. Students must also keep the organisation supervisors informed of the impending NS Training as early as possible, so that the project or work activities can be planned around the NS Training period. If your deferment for your NS Training is not successful, you have to submit form DPA/35 (Application for Special Leave) to the CAO, NTU as early as possible and at least 7 days in advance of the training. You may or may not be required to extend your attachment. This depends on the satisfactory completion of your work in the organisation and the total duration of your NS Training.

EXEMPTION OF ATTACHMENT Students who meet the following criteria may apply, subject to approval, for exemption of attachment: Poly graduate At least 2 years of relevant full time working experience after you graduated from polytechnic.

To apply, student must submit the Application Form for Exemption of Attachment (please click the link to download the form) together with the followings: a letter from employer or ex-employers HR stating the period of employment and job responsibility a report of at least 2000 words on the last 6 months of each employment testimonial from employer/ex-employer (optional)

ENGAGING STUDENTS SERVICE BEFORE/BEYOND THE OFFICIAL IA PERIOD The arrangement to engage the IA students service before/beyond the IA period or its official extended date will be solely between the student and his/her IA organisation. It will not be counted towards the Industrial Attachment requirements. However, such extension will be viewed favourably by NTU as a part-time employment.

As NTU views all part-time works performed by its students as part of the formal training, all local and international undergraduates are exempted from CPF contributions. International students who wish to extend their IA period into term time are required to contact Mr William Chan of NTUs Student Affairs Office at Tel: 6790 5153 to apply for a copy of Letter of Endorsement two weeks before IA ends. Note: The Public Liability Policy and the additional coverage, if any, taken up by the IA students under the Group Personal Insurance Policy will be lapsed after the IA period or it official extended date.
