    One of the biggest mistakes I made when writing my academic papers: I hid strong ideas inside long, tangled sentences and long manuscripts. Now I understand why. Our work is nuanced. Our field is technical. Our thinking is layered. But if the sentence is way too long and spreads over several lines, it needs editing. Clarity increases impact. Not because the science becomes simpler. Because the reader can finally see it. A few things I always look for in a draft: - One idea per sentence - One theme per paragraph - Fewer stacked clauses - Less jargon where plain language works - Less “thesis mode,” more reader mode Here is the test: If a smart person outside your narrow subfield can follow your method and logic, your paper is stronger. A lot of researchers think better writing means sounding more academic. Usually it means sounding more human. Your paper does not need more fancy words. It needs more precision.     Is your PhD thesis feeling like a massive mountain with no clear path to the top? You're not alone. Many brilliant researchers get stuck because they're missing the roadmap. After reviewing hundreds of successful dissertations, I've discovered that a clear structure is often the difference between completion and ABD (All But Dissertation). Here's the 7-step blueprint that has helped my students finish their PhDs on time: 1. Introduction - Create your research story Start with a problem people care about, not just academic theory. Preview your main findings to build interest from page one. State your research question in simple, clear language. 2. Literature Review - Show what's missing Organize by themes, not just a list of studies. Clearly identify gaps that your research fills. End by explaining why your approach is needed. 3. Methodology - Explain your choices Justify why your approach is the best fit for your question. Detail your methods so clearly others could repeat your work. Address limitations honestly before reviewers point them out. 4. Findings - Present evidence clearly Use visuals (tables, graphs) to highlight key results. Start with your strongest findings to build confidence. Keep technical details in appendices if they interrupt the flow. 5. Analysis - Connect the dots Show patterns across your results. Use examples to illustrate abstract concepts. Explain unexpected findings rather than hiding them. 6. Discussion - Place your work in context Address the "so what?" question directly. Compare your findings with previous research. Explain practical implications beyond academia. 7. Conclusion - Leave a lasting impression Summarize your unique contribution in one paragraph. Suggest specific next steps for future researchers. End with your most powerful insight or discovery.     Ma’am, I know the science… but English is the problem. That’s what a student told me during a PhD mentorship session. He had good research ideas, a solid methodology and impressive results. But when it came to writing his thesis, he’d freeze. “I’m scared of sounding stupid.” “I write and delete. Then write again. Then delete again.” “What if my reviewers think I don’t know enough?” Sound familiar? As a non-native English speaker myself, I get it. Writing in academic English can feel like climbing a mountain, in slippers. But here’s the truth no one tells you: You don’t need fancy words to write a powerful thesis. You need clarity. Structure. And confidence. Here are a few tips I give my students to make academic writing feel less scary and more doable: 1. Think in your native language. Write in English. Then refine. Don’t force your brain to create complex English sentences from the start. Jot your ideas in your language, then translate the core idea and simplify. 2. Cut the fluff. Academic writing isn’t about sounding "smart." Instead of: “The research herein seeks to explore the potentialities...” Say: “This study explores…” 3. Use the same structure for every paragraph. 👉 Start with the main point 👉 Add evidence or explanation 👉 End with why it matters 4. Reuse phrases smartly. Keep a personal phrase bank of useful sentence starters: 📌 “This study aims to…” 📌 “The findings suggest that…” 📌 “Further research is needed to…” 5. Read your writing out loud. If it sounds natural, it reads well. If you stumble — revise it. 6. Use tools , but don’t let them write for you. Yes, use Paperpal, PaperAim or any other tool. Integrate their plug-ins in the MS Word directly (without having to go to tool each time/ privacy issues). But use them to polish your thoughts , not to replace them. 🎓 Your research matters. Don’t let language barriers stop your brilliance from shining through. I’ve mentored 100+ PhD scholars from non-English backgrounds, and I promise, writing is a skill, not a talent. You can learn it.     On Academic Writing (or: it’s a second language for everyone) The worst writer I ever trained? An English major and native speaker of the United States. The second worst? A literature major who also studied engineering. That collaborator suffered double jeopardy — the imprecise writing of a wannabe creative combined with the hubris of an engineer. Both struggled mightily when their papers went to peer review. A common misperception is that academic writing is easier for those who speak English as a first language. Not true. Not for my student. Not for many native English speakers. And this recent article in Science (https://lnkd.in/eNGtWEAB ) confirms that intuition. So what to do? How do you learn to write academic English? 1. Academic writing is about precision, not flair. Forget clever word choices. Focus on consistency and clarity. Repeat key terms so readers never doubt what you mean. 2. Most top scholars use editors. Some lean on a partner, others hire professional help. There’s no shame in it. Your job is to design and analyze studies; a copy editor’s job is to amplify your clarity. 3. Writing takes practice. Start early, write often. Every strong paper is rewritten a dozen to thirty times. Treat each draft as a learning opportunity, not a failure. 4. You learn from great writers. Read them. Work with them. Borrow their turns of phrase. My non-native English colleagues often teach me new vocabulary because their technical language is sharper than mine. 5. Some of the best academic writers are non-native English speakers. English was my second language. My first — now forgotten — was Chinese. Being forced to learn English made me more articulate; learning the idioms of South Carolina later in life made me a better storyteller. Struggling with language can make you stronger. 6. Great writing requires humility. You must accept feedback. The worst writers I’ve worked with rejected every change or declared themselves “smarter than grammar checkers.” They even turned off track changes! The team had to compare versions just to repair what was lost. 7. Good writers thank their coauthors. Gratitude makes giving and receiving feedback easier — and it keeps collaborations healthy.     [Storytelling in Academia] The core: academic papers are not mere records of what happened, but carefully constructed arguments. Before you say, “No”, let me clarify. I’m not saying we (academics) invent stories. Nope. The science must remain objective and rigorous. But the way we communicate that science is a carefully designed narrative. Some excellent students write their first draft like a documentary. They try to record everything they did because they believe “that’s science”. The result is often a long manuscript with lots of (unnecessary) details. But when I ask, “what is the one message you want readers to remember? They often have difficulty summarizing the gist. A good paper tells a clear story. That also means academic writing is "strategic", not chronological. A manuscript is not a diary of your research process or results. It’s an argument built to help readers understand your contribution. Sometimes, journal editors may recommend you swapping Experiment 1 and Experiment 2 because it creates a more logical narrative. Sometimes, reviewers will ask you to move a figure to the appendix, shorten a methods description, or remove analyses that don’t directly relate to your research question. None of these suggestions change the science. They improve the clarity of the story. Finally, like any story, you have an audience. The same research can be written differently depending on your audience. In Psychology, reporting statistical details in between sentences in the Results section is common practice. But in some HCI journals, reviewers often recommend summarizing statistical details in tables or moving them to an appendix to improve readability. Nether is wrong. They simply reflect different expectations from different audiences.     I use this writing framework to get my papers accepted. (Already 12+ published this year by July.) Don't just write! Guide your reader with the PASTOR. How to use the 𝗣𝗔𝗦𝗧𝗢𝗥 framework: (It's from marketing, but we map it to academic writing:) 1. PROBLEM: Identify the gap • State a clear gap in existing literature. • Nail the problem your research tackles. Be explicit about the issue. ❌ 'This area needs more study.' ✅ 'Current methods fail to address X accurately.' Vagueness won't cut it. Clearer = better. Whoomp. 2. AMPLIFY: Make the gap painful. • Discuss the impact • Show what we lose by not addressing it. Emphasize the stakes. ❌ 'It's a significant problem.' ✅ 'Ignoring it costs companies millions annually and impacts the health of X people.' Impact is measurable, not a loose claim. 3. STORY: Share a failed case • Use a real example of academic struggle. • Link it to your problem. Make it relatable. Make it matter. ❌ 'Some past work struggled to build autonomous systems.' ✅ 'Zhang et al. (1999) attempted to built an autonomous learning system but the capabilities of software were limited at that point.' Anonymous examples don't stick. Real names and struggles do. 4. TRANSFORM: Use testimonials academia style • Cite related work for the problem. • Have a discussion with it. Show how it was done. Mark what's missing. Explain fix. ❌ 'Similar studies have been conducted.' ✅ 'Smith's 2020 study tackled A and B but missed C.' Don't just name-drop or citation dump. Show exactly what's missing. 5. OFFER: Contribute big time • Show your research contribution. • Link it back to the problem you identified. Value over volume. ❌ 'We conducted 5 experiments.' ✅ 'Our research solves X by using a new experimental approach.' What you did matters less than what you achieved. 6. RESPONSE: Call for future action • Outline follow-up research. • Suggest practical applications. Guide, don't just end. ❌ 'More research is needed.' ✅ 'The next step is to apply these findings to Y.' Here are the key principles I emphasized — feel free to use and share! 🚀 1. 𝗖𝗹𝗮𝗿𝗶𝘁𝘆 𝗶𝘀 𝗸𝗲𝘆. Have a crystal-clear concept of what you are writing about. 🎯 2. 𝗪𝗿𝗶𝘁𝗲 𝗹𝗶𝗸𝗲 𝗮 𝘁𝗲𝗮𝗰𝗵𝗲𝗿. Use clear, firm logic to guide the reader. 👩🏫👨🏫 3. 𝗦𝗵𝗼𝗿𝘁 𝘀𝗲𝗻𝘁𝗲𝗻𝗰𝗲𝘀 → 𝗯𝗶𝗴 𝗶𝗺𝗽𝗮𝗰𝘁. Focus on one idea per sentence. ✨ 4. 𝗙𝗮𝘃𝗼𝗿 𝗮𝗰𝘁𝗶𝘃𝗲 𝘃𝗼𝗶𝗰𝗲. It makes writing sharp and engaging. ⚡ 5. 𝗔𝘃𝗼𝗶𝗱 𝗿𝗲𝗽𝗲𝘁𝗶𝘁𝗶𝗼𝗻.     Yes, your writing is a pitch. But the tone? Think hallway chat, not TED Talk. You don’t need to write like a TED speaker to sound credible. You just need to sound like… you. But here’s what happens when we don’t fully trust our work: We overcompensate. The sentences stretch longer. The verbs get louder. The claims get bolder than the data can defend. Suddenly, a solid study on diabetes readmission reads like a global breakthrough. That’s not confidence—that’s hiding uncertainty in style. So here’s how I’ve learned to course-correct, and help my mentees do the same: 1️⃣ Scale the claim to fit the data You studied 90-day readmissions after hypertensive crisis in a single-center cohort. That’s important. But is it “game-changing”? Probably not. So describe it in proportion to what it actually shows. ↳ “Our findings suggest...” signals insight. ↳ “We proved...” invites scrutiny. That’s not hedging—it’s being accurate. And in research, credibility lasts longer than hyperbole. 2️⃣ Would you say it to a peer in the hallway? Read your paragraph out loud—like you're chatting over coffee. Would you really say: ↳ “Our novel multivariate model revolutionizes cardiovascular risk prediction”? Or would you say: ↳ “Our new model improved risk stratification compared to current practice”? If it sounds weird when spoken, it probably reads forced. Strip it back. Speak human. 3️⃣ Audit your verbs You didn’t transform patient outcomes by identifying elevated HbA1c. You found an association. Big difference. Academic writing isn’t less persuasive when it’s precise. It’s more persuasive—because readers trust it. Words like “transform,” “revolutionize,” “breakthrough” often signal overreach. 4️⃣ Delete the intensifiers “Very significant.” “Extremely promising.” “Really important.” These creep in when we don’t fully trust our results. But if your model is solid, you don’t need the extras. The effect size speaks louder than “really.” 5️⃣ Check if you're writing to impress—or to inform Are you trying to sound smart… or help someone understand? Long sentences. Dense phrasing. Heavy jargon. These often reflect insecurity—not mastery. Clarity isn’t dumbing down—it’s generosity. And ironically, it’s when you sound most credible. Exaggeration is easy. Precision is earned. And in the long run, precision is what builds your voice, your reputation, and your career. So here’s a challenge: Open your last draft. Find one sentence that feels like it’s trying too hard.     Nobody taught you the structure of a research paper. They just handed you a blank Word document and said "write." 👇 Here's what nobody tells you: 𝗛𝗮𝘃𝗶𝗻𝗴 𝗱𝗮𝘁𝗮 𝗶𝘀 𝗻𝗼𝘁 𝘁𝗵𝗲 𝘀𝗮𝗺𝗲 𝗮𝘀 𝗵𝗮𝘃𝗶𝗻𝗴 𝗮 𝗽𝗮𝗽𝗲𝗿. 𝗔𝗻𝗱 𝘄𝗶𝘁𝗵𝗼𝘂𝘁 𝘀𝘁𝗿𝘂𝗰𝘁𝘂𝗿𝗲 — 𝗲𝘃𝗲𝗻 𝗴𝗿𝗲𝗮𝘁 𝗿𝗲𝘀𝗲𝗮𝗿𝗰𝗵 𝗴𝗲𝘁𝘀 𝗿𝗲𝗷𝗲𝗰𝘁𝗲𝗱. Every publishable paper follows the same skeleton. We call it the Fish Model — and here's exactly how it works: 🐟 𝗔𝗯𝘀𝘁𝗿𝗮𝗰𝘁 — The Head Your problem statement, methodology, summary of findings, and conclusion. Reviewers read this first. If it doesn't hook them — they stop here. 🐟 𝗜𝗻𝘁𝗿𝗼𝗱𝘂𝗰𝘁𝗶𝗼𝗻 — The First Bone Literature review, the problem/burden, what is known vs unknown, and your aim and hypothesis. This is where you prove the gap is real. 🐟 𝗠𝗲𝘁𝗵𝗼𝗱𝗼𝗹𝗼𝗴𝘆 — The Spine Study design, study population, data source, risk factors, and statistical analysis. Every single choice must be justified. A weak spine collapses the entire paper. 🐟 𝗥𝗲𝘀𝘂𝗹𝘁𝘀 — The Body What did you find? Primary and secondary findings. Data represented in tables and figures. Tell the examiner what happened — not what it means. That comes next. 🐟 𝗗𝗶𝘀𝗰𝘂𝘀𝘀𝗶𝗼𝗻 — The Second Bone Interpretation and contextualization of findings in relation to existing knowledge. Significance, implications, and limitations. Most researchers write a second Results chapter and call it Discussion. Don't be that researcher. 🐟 𝗖𝗼𝗻𝗰𝗹𝘂𝘀𝗶𝗼𝗻 — The Tail The take-home message. Circle back to the exact problem you opened with. If you started by saying "the world lacks X" — end by saying "here is X, and here is what it changes." 🐟 𝗥𝗲𝗳𝗲𝗿𝗲𝗻𝗰𝗲𝘀 — The Foundation The existing knowledge you built this work upon. This is not a formality. It is the evidence that your gap was real. Save this. Share it with every researcher you know. The structure was always there.
