On keeping a paper aligned with the paper you thought you were writing (or how to align the paper you wrote with the outline that you started with) Somewhere between the first idea & the fourth round of revisions, a paper can quietly mutate into something you barely recognize. The outline was clean. The ambition was clear. And then… after feedback ... the project drifted. I’ve learned (the hard way) that staying aligned with your original vision isn’t just about discipline. It’s about building on a foundation that keeps your tendency to wander in check, that focuses you on answering the question you set out to answer. To keep your paper tethered to its original purpose, here are five basic steps to staying focused: 1. Start with the literature review—before writing anything else. It’s tempting to jump into theory building, but the literature tells you where the intellectual gaps actually are. A careful read reshapes the outline, clarifies what’s been done, and—most importantly—prevents you from building a paper on a problem that doesn’t exist. Pro tip: Every German PhD in my field starts with a lit review. There is a reason ... 2. Construct the research question with precision. A fuzzy question guarantees a fuzzy paper. My team writes the question, rewrites it, says it aloud, & then tests whether every section of the outline points back to it. If a part of the outline can’t justify its existence relative to the question, we cut or reframe it. Pro tip: This is sometimes a verbal scaffolding - that translates to a slide deck - that translates to paper. 3. Vet the problematization until it feels uncomfortable. Most papers fall apart because the “problem” is underdeveloped or overstated. I ask: Why does this matter? To whom? What breaks if this stays unanswered? A strong problematization forces the rest of the paper to stay honest. Pro tip: This starts in practice. Talk to people affected by the problem. 4. Get the right data—not just the data that’s easy to get. Misaligned data is the silent killer of papers. The dataset has to be able to answer the question you actually care about. Pro tip: If the data doesn’t address the phenomenon, the paper drifts because you’re forced to chase what the data does allow rather than what the outline requires. 5. Choose a method that directly answers the question you posed. The method is not a decoration; it’s the bridge between the question & the evidence. I ask myself: “If I apply this method perfectly, will I be able to answer my research question?” Pro tip: If the answer is anything short of yes, something in the outline needs to be reworked. Drift happens. It’s part of the research process. But if you build a strong foundation, on which you can build how you think & write, the idea can stay focused as it becomes a document. And when the paper starts to meander, you’ve already given yourself a foundation to find your way back to your goal & write a great paper! #academicwriting

PhD Issues: I've read many florid and rambling PhD theses. I understand the desire to showcase your vocabulary and experiment with literary forms. However, I recommend a different approach: Simplify your writing. Present your findings in an easy-to-follow way. This isn't "dumbing down" or being simplistic. It's about communicating effectively. You need to get your message across, reach a wide audience, and make a bigger impact. It takes time to think deeply about your message and express it clearly. Your first drafts won't be perfect - expect to spend time editing and refining. 🟢 For each paragraph, ask: What point is it making? How does it advance the chapter? If a paragraph diverts from these goals, it's misplaced. Readers assume everything you tell them is important - if it isn't, either cut it or move it to footnotes. 🟢 Include clear breaks between paragraphs. Look at your page—is it a wall of text or broken into manageable pieces? 🟢 Is your chapter self-contained within the broader thesis? Avoid frequent references like "See page 587" or "refer to chapter 37" - these interrupt the reading flow. 🟢 Keep chapters to around 6,000–8,000 words. Beyond this length, readers struggle to follow your argument. Either trim unnecessary content or split into two chapters. 🟢 Begin each chapter by outlining what you'll cover and how it connects to your broader research themes. This roadmap helps readers process what follows. 🟢 Vary your sentence length for impact and rhythm. Short sentences can be powerful. Mix them with longer ones to create flow. While you're not writing prose, you are communicating - make it engaging. Complex topics deserve clear expression. Your subject may be inherently complicated - don't add unnecessary complexity to it.

Ma’am, I know the science… but English is the problem. That’s what a student told me during a PhD mentorship session. He had good research ideas, a solid methodology and impressive results. But when it came to writing his thesis, he’d freeze. “I’m scared of sounding stupid.” “I write and delete. Then write again. Then delete again.” “What if my reviewers think I don’t know enough?” Sound familiar? As a non-native English speaker myself, I get it. Writing in academic English can feel like climbing a mountain, in slippers. But here’s the truth no one tells you: You don’t need fancy words to write a powerful thesis. You need clarity. Structure. And confidence. Here are a few tips I give my students to make academic writing feel less scary and more doable: 1. Think in your native language. Write in English. Then refine. Don’t force your brain to create complex English sentences from the start. Jot your ideas in your language, then translate the core idea and simplify. 2. Cut the fluff. Academic writing isn’t about sounding "smart." Instead of: “The research herein seeks to explore the potentialities...” Say: “This study explores…” 3. Use the same structure for every paragraph. 👉 Start with the main point 👉 Add evidence or explanation 👉 End with why it matters 4. Reuse phrases smartly. Keep a personal phrase bank of useful sentence starters: 📌 “This study aims to…” 📌 “The findings suggest that…” 📌 “Further research is needed to…” 5. Read your writing out loud. If it sounds natural, it reads well. If you stumble — revise it. 6. Use tools , but don’t let them write for you. Yes, use Paperpal, PaperAim or any other tool. Integrate their plug-ins in the MS Word directly (without having to go to tool each time/ privacy issues). But use them to polish your thoughts , not to replace them. 🎓 Your research matters. I have examined over 40 PhD theses, and here is the hard truth: the ones that fail rarely fail on the research. They fail on a structure nobody ever taught the candidate. Think about that for a second. You can do everything right. Years of solid work, real findings, a genuine contribution. And it still falls apart, because no one ever sat you down and explained what each chapter is actually for. I have watched it happen too many times. Great, careful researchers, writing for years with no clear sense of where it is going. So let me give it to you now. This is the six-chapter structure I walk every candidate I mentor through. Each chapter has one job. Get that job right, and the thesis starts to defend itself. One: Introduction. This is where you make your promise. Tell me the context and why it matters, your research question, your aims, and what is coming in each chapter. Land all of that before page five, or I start reading nervously, waiting for the point. Two: Literature Review. This is your argument for the gap, not a tour of everything you read. Organise it by theme, not by author. A reading list is not a review. A review takes a position. Three: Methodology. Do not just tell me what you did. Tell me why. Why this design, why this data, and own your limitations before a reviewer digs them out for you. Four: Findings. Show me the evidence, cleanly. Lead with your strongest results. Show me the patterns, and please, explain the surprises instead of hiding them. Keep the technical detail that breaks the flow in an appendix. This is where your data starts to become meaning. Five: Discussion. Now answer the question I am always asking: so what? Put your findings next to the existing literature and tell me what changes because of them. Compare, do not just repeat yourself. This is where your contribution becomes something I can challenge. Six: Conclusion. Tell me what your work moved. Your contribution in one paragraph, what it means, and an honest line about what you could not do. Here is what I want you to take from this. A thesis is not six things you write. It is one argument that has to land in six movements. So tell me. My supervisor once told me, “Your paper has good ideas, but no backbone.” That line stayed with me. Most drafts don’t fail on ideas—they fail on structure. Over time, I started thinking of a research paper like a spine: if each part is in the right place, the whole thing stands straight. Here’s the structure I now use (and teach): Title – 10–15 words – Include key variables or theme – Avoid vague phrases like “A Study of…” Abstract (150–250 words) – Purpose – Method – Key findings – No references or citations Introduction (~1000 words) 4 paragraphs: – Hook + relevance – Define problem / gap – Past work and context – Aim of the study Tip: keep sentences ≤17 words for clarity. Literature review (1000–1500 words) – Organize thematically or chronologically – Explain models, not just list studies – Synthesize instead of dumping citations – Use subheadings for clarity Methodology – Use past tense – Include participants, tools, procedures, analysis steps – Each subsection <300 words and written in clear, logical steps Results – One main result per paragraph – Use tables/figures where helpful – No interpretation yet, just what the data show – Refer to every table/figure in text Discussion – Interpret key findings – Connect to theory and prior work – Address limitations honestly – 5–6 focused paragraphs Conclusion – No new data – Reaffirm contribution – Suggest practical implications and next steps – Keep it under 250 words Pro tip: When you feel stuck, don’t rewrite everything. Check which “bone” is missing or overloaded, and fix that section first. Your PhD committee isn't your thesis audience. Your dissertation is for sleep-deprived academics. And exhausted PhD students looking for guidance. They don't need to wade through 50 pages before your point. They don't need impressive, overly fancy vocabulary. They don't need 200-word sentences. They need clarity, precision, and signposts. But I spotted these same issues for the 50+ times... After years of reviewing PhD work, I've noticed this: Most problems aren't with the research itself. It's how students tell their story and think about their readers. Here are 5 fixable PhD thesis issues I see over and over: 1. Bloated word count Verbal diarrhea isn't pretty. Most theses don't need 100,000 words. Cut unnecessary fluff and just get to the point. 2. Vague abstracts I wouldn't write abstracts as historical context. I'd focus on your findings, methods, and implications. All in under 300 words. 3. Method vs. Methodology confusion Sure, there are nuances, but: Method = What and How you did things Methodology = Why you chose this approach 4. Missing visual elements Diagrams explain complex ideas instantly. You should be able to express your entire PhD through visuals. (Or dance. Hypothetically speaking.) Not artistic? Sketch it first, then use Canva. 5. Overreaching conclusions Many PhDs stretch conclusions beyond what their data shows. Keep it simple and tell us what the data means. The wider implications and the real impact. These fixes seem small but make a MASSIVE difference in how effectively your hard work will be understood and appreciated by your audience.
