45 PhD theses later, I can spot a weak lit review in 30 seconds. Every strong one follows this framework After examining 45+ PhD theses, I noticed the same lit review structure in every strong thesis. And a completely different structure in every weak one. I once had to tell a PhD student their literature review needed a complete rewrite. Six months of work. Gone. The problem was not effort. It was structure. Their review was a 40-page list of study summaries. "Fitzpatrick (2019) found this. Li et al (2025) found that." Forty pages of it. No themes. No argument. No gap. I've seen this mistake in roughly 70% of the theses I examine. Students describe what others found. But they never explain why it matters or what is still missing. So I created what I call the Examiner's Lit Review Framework. It works like a funnel. Start wide. End focused. Level 1: Broad context. What is the field and why does it matter right now? Level 2: Specific area. What do we already know from the research? Level 3: Critical gaps. What is missing, contested, or under-explored? Level 4: Your contribution. How does your study fill that gap? Every strong thesis I've examined follows this logic. The funnel forces you to move from description to argument. From "what exists" to "what's missing" to "why my study matters." The rules are simple: Synthesise by theme, not by author. Group ideas, not studies. Show how the field has evolved. Always end with a clear gap statement. And whatever you do, stop listing studies one by one. That's a bibliography, not a literature review. That student I mentioned? She rewrote her review in 3 weeks using this framework. Her examiner called it exemplary. Same researcher. Same topic. Same literature. Completely different result. The structure made the difference. Your Literature Review is Sabotaging Your Success. 80% of doctoral students make this critical mistake—and it's keeping them stuck in endless revision cycles. Most students approach their lit review like this: "Smith (2020) found X. Jones (2021) found Y. Brown (2022) found Z." Then they're confused when their committee says it "lacks synthesis" or "reads like a book report." Here's the problem: You're cataloging individual studies instead of revealing what the field has collectively learned. The Game-Changing Shift: Stop writing WHAT studies found. Start writing what the FIELD knows. Your committee doesn't want a grocery list of findings. They want to see you thinking like a scholar who can identify patterns, gaps, and emerging themes across bodies of research. Compare These Approaches: ❌ The Grocery List (What Most Students Do): "Johnson (2020) studied social media and found negative effects on mental health. Williams (2021) also studied social media and found mixed results. Davis (2022) found positive effects in their sample." ✅ The Synthesis (What Committees Want): "The relationship between social media use and mental health depends on three key factors that emerged across 15 studies: type of use (passive vs. active), duration of use, and individual vulnerability factors (Johnson, 2020; Williams, 2021; Davis, 2022)." See the difference? The second example: -Identifies patterns across studies -Creates new knowledge from existing research -Shows YOU thinking, not just reporting -Demonstrates scholarly maturity How to Make This Shift: Instead of asking: "What did this study find?" Ask: "What do these studies collectively tell us?" Look for: -Patterns across findings -Contradictions that reveal important variables -Gaps where knowledge is missing -Emerging themes that connect different studies Your lit review should read like a story about what the field has learned, not a bibliography with commentary. The Real Impact: -When you master synthesis, you: -Get faster committee approval -Demonstrate readiness for original research -Show you understand your field deeply -Set up your methodology naturally -Position yourself as a emerging scholar, not just a student Remember: Your committee has read these studies. Literature reviews: Some love them. Some hate them. Everyone has to do them. But what makes a good review article? 5 years ago, I wrote a post for LSE Impact Blog that made it into the TOP10 of the year (https://lnkd.in/dW8U2eg). I was fascinated by the “evidence maps” of the health sciences. One click and you know everything about all treatments for a condition. Should the social sciences not have the same? After analyzing 1400+ articles since the 1980s--charting the past, present and future of reviews--Tim Hannigan, Andre Spicer, and I say: no. https://lnkd.in/ewtxbj6U But we see much room for improvement. What principles do we recommend? 1. 𝗜𝘁’𝘀 𝘁𝗵𝗲 𝗽𝘂𝗿𝗽𝗼𝘀𝗲, 𝘀𝘁𝘂𝗽𝗶𝗱: We are too fixated on HOW to do a literature review. We forget WHY a review is needed and WHERE it takes a field. 2. 𝗨𝗽 𝘆𝗼𝘂𝗿 𝗴𝗮𝗺𝗲: Unlike in other disciplines, there is little use of technology and collaboration in management, and we are slow. We recommend technologically infused and collective review practices to become faster, more relevant and more impactful. 3. 𝗕𝗲 𝗿𝗲𝗳𝗹𝗲𝘅𝗶𝘃𝗲: Generative AI will soon make descriptive reviews redundant. Find a better edge to your review. Think of it as engaging in abstract art when photography challenged the use of naturalistic paintings. 4. 𝗕𝗲𝗶𝗻𝗴 𝘀𝘆𝘀𝘁𝗲𝗺𝗮𝘁𝗶𝗰 𝗺𝗶𝗴𝗵𝘁 𝗻𝗼𝘁 𝗯𝗲 𝘁𝗵𝗮𝘁 𝗶𝗺𝗽𝗼𝗿𝘁𝗮𝗻𝘁: Unlike in the health sciences--where missing a rare side effect can literally be fatal--the social sciences benefit from “varieties of review” that reject following one idealized approach, such as systematic reviewing. 5. 𝗜𝘁’𝘀 𝗻𝗼𝘁 𝗲𝗶𝘁𝗵𝗲𝗿-𝗼𝗿. 𝗜𝘁 𝗱𝗲𝗽𝗲𝗻𝗱𝘀: A review should not be critical or integrative by default. Instead, your choice should depend on the state of the field. We call this doing “reviews with attitudes.” 6. 𝗦𝘁𝗼𝗽 𝗱𝗼𝗶𝗻𝗴 𝗿𝗲𝘃𝗶𝗲𝘄𝘀 𝗯𝗲𝗰𝗮𝘂𝘀𝗲 𝘆𝗼𝘂 𝘀𝗲𝗲 𝗮 𝗴𝗮𝗽: Reviewing is a social process. Engage in the “knowledge work” of reviews to develop the field's “knowledge infrastructure.” We find 10 different review purposes that deviate from how reviews have previously been classified. On taking time to do a good lit review & craft a strong paper (or you can't take shortcuts). As a senior editor, I read dozens of reviews a year. Often, a reviewer complains that the authors have failed to cite papers or miscited papers. Sometimes, they use that lack of due diligence to reject a paper. I wrote about the problem of rejection bc of missing papers here - * took a strong position against doing so: https://lnkd.in/eAHSZKW5 However, I want to offer a clarification for early career authors. Calling for reviewers to educate & help authors, does not mean that you should submit papers that are under-researched or quickly assembled. It means that errors of omission occur even in well-researched & thoughtfully assembled papers. It is up to you, the authors, to do your very best job to stay up to date on the literature, write reasonable arguments, & submit work using current methods. This is easy to write - but hard to do - so how to ensure you've done a good job? First, check for updated references before submission. Papers take months to write. It's natural a few relevant citations may pop up once you've completed the literature review. I like to check for new references to key citations in my paper. I do so on Googlescholar.com. If I find relevant references, I add them to the paper. Second, edit once, edit twice, edit thrice. Early career authors often submit papers with small grammatical errors. I've asked a few of them why? They say that grammar should not get in the way of seeing the ideas. Clearly, they have not met my OCD friend Reviewer Two. Grammar matters. Third, check author names. Grammar & spelling checkers won't catch author name errors. In fact, they often amend them to be incorrect. If your checker recommends an alternative spelling, check the reference. Nothing makes a reviewer crabbier than seeing their name misspelled - it's happened to me! Fourth, really take time to know your topic. In the high-volume, high-pressure world that we work in, many authors are submitting papers on diverse topics. That they have a superficial understanding of a topic shows up in the literature review. The early stages of your work on a new topic should involve a few weeks, if not months of reading. Note, bc of this high overhead, I suggest people write synergistic studies or sets of papers on related topics or questions. Finally, have a knowledgeable peer read the paper before submission. The issue isn't just having the right citations, as Bryan Gaensler points out, it takes time to understand the nuances of a literature. Have a second set of eyes read the paper to make sure that not only the right citations are there but that they are used in the right spirit. If you take time to update references, carefully edit the paper, & solicit a knowledgeable peer review, you will have much more luck in securing a revision at a good journal.

Let me share my tested workflow for literature reviews, combining AI tools + human mind: 1️⃣ Start with a seed paper → Use Litmaps or Connected Papers to build a network of related studies. 2️⃣ Write a 250-word brief capturing the study’s core idea, then use an AI tool to generate a lit-review skeleton (your framework). 3️⃣ Organize your sources in a reference manager like Paperpile, Zotero, or Mendeley. 4️⃣ Upload PDFs + notes into NotebookLM (or similar), now you have an assistant that “knows” both your sources and structure. 5️⃣ Draft the Lit Review by interacting with Google NotebookLM, weaving your insights with citations from your reference manager. 6️⃣ Polish the writing using Grammarly or Paperpal. 7️⃣ Get feedback from your co-authors and iterate. 8️⃣ If needed, iterate further with tools like Paper-Wizard, which provide AI-assisted feedback. 9️⃣ Match your work with a suitable outlet using free journal-finder tools. ✅ Submit! Don’t know what to include, exclude or even say in your lit review?” Use this this simple framework 👇 The 5 C’s of Writing a Literature Review to keep things clear, focused and meaningful. CITE – Give credit where it’s due. This builds your credibility and shows you know your field. 📌 Key questions to ask: 💡 What year was the source published? Is it recent or still relevant despite being older? 💡 Is it a peer-reviewed or widely cited source? Does it come from a reputable journal or publisher? 💡 What is the context of the publication? Was it written for academia, industry or general audiences? COMPARE – Spot the similarities. Who agrees with whom? Where is the common ground? 📌 Key questions to ask: 💡 Do different studies report similar findings? 💡 Are the research methods and designs alike? 💡 Do the studies address similar research questions or problems? 💡 Are they based on the same theoretical framework? CONTRAST – Differences are just as important. Highlight opposing views. 📌 Key questions to ask: 💡 Do studies produce conflicting results? If so, why? 💡 Are different research methods leading to different conclusions? 💡 Are there debates or disagreements among researchers? 💡 Are there cultural, historical or disciplinary differences in perspectives? CRITIQUE – Don’t just accept everything at face value. What’s strong? CONNECT – Bring it all together. In my experience, most students don’t struggle with their literature review because it’s “hard.” They struggle because no one ever taught them a systematic way to do it. THIS IS WHY I found Carrera-Rivera et al. (2022) so helpful. ➜ Their article, “How to conduct a systematic literature review: A quick guide for computer science research”, breaks the process into practical, repeatable steps, and even though it’s written for computer science, the core principles apply beautifully to any master’s thesis. TWO MAIN INSIGHTS: 1️⃣ Start with a protocol, not with searching. ➜ Most overwhelmed students begin by typing keywords into Google Scholar. ➜ Wrong starting point. ➜ The authors emphasise the importance of defining your protocol first by using PICOC criteria, because this “thinking work” prevents you from drowning in irrelevant articles later. 2️⃣ Your search strings matter more than you think. ➜ The article shows how to build search strings using PICOC + synonyms + Boolean logic. ➜ This is probably one of the most under-taught skills in postgraduate research. ➜ A good search string can reduce your reading load by 30–50%, simply by ensuring you’re pulling in the right studies from the beginning. ➜ If you are a student juggling work, family, and study, this kind of structure is not optional.
