On why simple writing is the ultimate skill in a scholarly life. The hardest habit to break for a good PhD student is pompous writing. They've been taught to vary word choices, use metaphors, and clutter up their prose to impress their friends with their genius and their instructors with their intellect. For the first two to three years of training, I spent nudging, pushing, and asking students to simplify their writing, take a knife to their prose, and distill the essentials. Why? 1. Simple writing forces you to understand your ideas. If you can’t explain your theory of social cognition in a few plain sentences, you probably don’t fully understand it yet. Example: Instead of saying, "Our results elucidate the multifaceted interdependencies among affective states," say, "Feeling good makes people trust others more." 2. It builds trust across audiences. Clear writing shows you aren’t hiding behind jargon or dressing up weak ideas. Example: Compare a paper titled "A Heuristic Evaluation of Pedagogical Modalities" with one called "How Students Learn Better in Small Classes." Which one do you trust more? 3. It frees you from pretension. Academia often sounds complicated — but real scholarship rewards humility. Example: You don’t have to say "epistemological frameworks of inquiry" when you could say "ways of knowing." It doesn’t make you sound less serious — just less pompous. 4. It honors your readers' time & intelligence. Your readers are smart, but they’re also tired & busy. Make their lives easier, not harder. Example: Instead of, "Given the aforementioned, one might infer...," say, "So, we found that..." Straightforward respect always wins. 5. It makes your ideas portable & powerful. Ideas that are simply written travel across fields, countries, & generations. Example: Darwin didn’t title his book "An Examination of Ontogenetic Species Differentiation" — he called it "On the Origin of Species." That’s why the world still reads it. 6. It makes revision and improvement possible. Simple writing exposes the real structure of your arguments — & shows where the weak spots are. Example: A messy paragraph, such as "The multiplicity of interconnected variables requires further parsing...", is harder to fix than a clear line, like "Several factors influence the outcome; some matter more than others." 7. It’s the Foundation for a Lifetime of Contribution. Simple writing gives your work staying power, not just attention. Example: Think about classic works that endure — Einstein’s papers, Jane Jacobs’ Death & Life of Great American Cities — they don’t survive because they were complicated; they survive because they were clear. Simple writing is about learning to elevate your ideas while broadening their reach. It's about making your ideas accessible to the smartest & the least of us, which is how scholars don’t just impress their peers — they shape fields, mentor future generations, & leave a real, lasting legacy. #academicwriting

In evaluation work, we sometimes use language that sounds impressive, but it can alienate the very people who need the information the most (Yes, I am sometimes guilty as charged. I am learning.) It’s like explaining how a wheel turns by describing rotational frictional forces instead of saying, "It spins." Keep it clear, simple, and relatable. The simpler your language, the more people will understand the message and value of your work—and that’s the real goal. Clear writing in short sentences matters in evaluation reports. Whether it's communicating findings to stakeholders, writing reports for funders, or providing feedback to project teams, the goal is to ensure your message is understood, not buried under layers of jargon. Imagine explaining an evaluation approach to someone by saying: "Unbeknownst to the study participants, the evaluators employed a quasi-experimental design with stratified random sampling to ascertain the overarching outcomes, thereby mitigating extraneous variables that could ostensibly confound the derived data." Simple: "We used a structured approach to get unbiased results by ensuring participants didn’t know how we grouped them." (Save the technical part for an Appendix some may agree or provide details when asked.) It’s easy to fall into the trap of thinking that fancier words make the work sound more important. But, unbeknownst to those who do, it often obscures the real point. In evaluation, clarity trumps complexity. In short: the simpler the message, the more powerful it is.

📝 How I Use Tenses in My Research Paper ⏳ In academic writing, using the right tense at the right time is crucial for clarity, consistency, and precision. Over the years, I've developed a clear approach to using tenses in each section of my research paper. Here’s how I use tenses in different sections: --- 1️⃣ Abstract ✔ Present Simple & Present Perfect In the abstract, I typically use the present simple to state the overall findings or conclusions and present perfect to highlight previous research or actions that have relevance to the current study. Example: "This study explores... Previous research has shown..." --- 2️⃣ Introduction ✔ Present Simple & Present Perfect In the introduction, the present simple is used to state general facts, background information, and theoretical frameworks, while present perfect is used to discuss what has already been done in the field. Example: "The theory of X explains... Researchers have examined..." --- 3️⃣ Literature Review ✔ Present Perfect & Past Simple In this section, present perfect helps to show that research has been conducted in the past but still holds relevance today. Past simple is used when referencing specific studies or events. Example: "Numerous studies have suggested... Smith (2020) found that..." --- 4️⃣ Methodology ✔ Past Simple The methodology section is largely written in the past simple tense because it focuses on what actions were taken or experiments conducted during the research process. Example: "Data was collected through... Choose Tenses Based on Time: Use past tenses for describing actions already completed and present tenses for ongoing or general truths. I watched my mentee restart his introduction 10 times. "I just can't get the flow right," he said. His manuscript had been stuck for three months. That's when I showed him my writing framework. The same framework that helped me publish my papers. (And it works for writing bits in ChatGPT 5 as well.) The problem was just the process. I'll break it down for you here: 1. Context Mapping First I always suggest we map before we write. Context is a powerful frame. Start with your publication areas and field. Analyze successful papers in your venue. Never start with your introduction. 2. Define Your Theoretical Architecture We can just define boundaries explicitly for a paper: • Three theoretical lenses maximum • Single methodology focus • 10-year literature window Framework clarity drives everything. 3. Create Evidence Hierarchies Structure your sources strategically. Foundational → Contemporary → Cutting-edge. Each tier serves a purpose. Evidence architecture supports arguments. 4. Outline Argument Progression Map your logical flow completely. Claim → Evidence → Analysis → Implications. Transitions predetermined. Logic becomes inevitable. Writing is more like fusion now, not blank-slate birth. 5. Design Citation Patterns Plan attribution strategies upfront: • Direct quotes vs. paraphrasing ratios • Citation density per section • Attribution styles Relevant citation and referencing builds authority. 6. Establish Methodological Boundaries Constrain your analytical approach. What you'll examine. What you won't. Why these boundaries matter. Limitations strengthen credibility. 7. Calibrate Your Academic Voice You want to identify your discipline's conventions. Active where acceptable. Passive marginally. Determine register requirements beforehand. Formal. Objective. I am often approached by students who are insecure about the robustness of their results. These are students who have submitted a paper for publication, and after being rejected, start wondering how to make it more “bulletproof.” This is good. Reviewers often raise good questions and papers improve by taking that feedback seriously. But incorporating feedback requires reading between the lines, and here is where many students stumble. When a reviewer rejects a paper is not because they were convinced by the entirety of the argument and became skeptical when they reached “table twelve.” This seems obvious, but it is not. If it were, these students would rewrite their papers to clarify and reframe their contribution. Instead they try to prop up the same argument further by adding tables and figures. But they get rejected again. After a few iterations, they end up with a paper that is hundreds of pages long, which nobody wants to read, and that is more focused on describing caveats than clarifying its purpose. Unfortunately, readers don’t care about the effort of the writer. They care about the clarity of the text. The sunk cost fallacy pushing students to reuse their old paragraphs hurts them. To become a better writer you must understand that editing is a war where you don’t take prisoners. If a page is no longer contributing to the story, you must kill it. The effort that went into crafting it is not a good argument for mercy. Imagine you’ve written a section detailing six robustness checks. If your core argument is already shaky, those checks won’t save it. Instead, they’ll overwhelm the reader with detail. A better approach is to reassess your claim, narrow its scope, and focus on the evidence that matters most. You’ll be surprised how quickly you can rewrite something once you understand why it is not working. And you’ll be surprised how much better a version that doesn’t reuse any of the previous text can be. If all the previous text did was help you understand the weaknesses of your argument, then it died with dignity. Many students fear that removing content diminishes their contribution. But academic writing is not a competition for word count or complexity; it’s a test of how well you can guide your reader through your ideas and conclusions. Reviewers don’t expect you to build a fortress of data to defend every possible critique. Instead, they want you to sharpen your argument, clarify your contribution, and focus on the evidence that best supports your claim. By narrowing the scope, you often make your work stronger, not weaker. A precise, well-supported claim carries more weight than a sprawling, overcomplicated one. So, the next time you face critical feedback, resist the urge to pile on more content. Instead, take the harder path to strip away the excess and hone your argument. Writing is not about convincing yourself that you’ve said enough—it’s about convincing your reader that you’ve said something that matters.

Preview your main findings to build interest from page one. State your research question in simple, clear language. 2. Literature Review - Show what's missing Organize by themes, not just a list of studies. Clearly identify gaps that your research fills. End by explaining why your approach is needed. 3. Methodology - Explain your choices Justify why your approach is the best fit for your question. Detail your methods so clearly others could repeat your work. Address limitations honestly before reviewers point them out. 4. Findings - Present evidence clearly Use visuals (tables, graphs) to highlight key results. Start with your strongest findings to build confidence. Keep technical details in appendices if they interrupt the flow. 5. Analysis - Connect the dots Show patterns across your results. Use examples to illustrate abstract concepts. Explain unexpected findings rather than hiding them. 6. Discussion - Place your work in context Address the "so what?" question directly. Compare your findings with previous research. Explain practical implications beyond academia. 7. Conclusion - Leave a lasting impression Summarize your unique contribution in one paragraph. Suggest specific next steps for future researchers. End with your most powerful insight or discovery. Ma’am, I know the science… but English is the problem. That’s what a student told me during a PhD mentorship session. He had good research ideas, a solid methodology and impressive results. But when it came to writing his thesis, he’d freeze. “I’m scared of sounding stupid.” “I write and delete. Then write again. Then delete again.” “What if my reviewers think I don’t know enough?” Sound familiar? As a non-native English speaker myself, I get it. Writing in academic English can feel like climbing a mountain, in slippers. But here’s the truth no one tells you: You don’t need fancy words to write a powerful thesis. You need clarity. Structure. And confidence. Here are a few tips I give my students to make academic writing feel less scary and more doable: 1. Think in your native language. Write in English. Then refine. Don’t force your brain to create complex English sentences from the start. Jot your ideas in your language, then translate the core idea and simplify. 2. Cut the fluff. Academic writing isn’t about sounding "smart." Instead of: “The research herein seeks to explore the potentialities...” Say: “This study explores…” 3. Use the same structure for every paragraph. 👉 Start with the main point 👉 Add evidence or explanation 👉 End with why it matters 4. Reuse phrases smartly. Keep a personal phrase bank of useful sentence starters: 📌 “This study aims to…” 📌 “The findings suggest that…” 📌 “Further research is needed to…” 5. Read your writing out loud. If it sounds natural, it reads well. If you stumble — revise it. 6. Use tools , but don’t let them write for you. Yes, use Paperpal, PaperAim or any other tool. Integrate their plug-ins in the MS Word directly (without having to go to tool each time/ privacy issues). But use them to polish your thoughts , not to replace them. 🎓 Your research matters. How's your voice? In scientific writing, the grammatical voice a writer chooses shapes the tone, clarity, emphasis and perceived objectivity of the work. Active voice occurs when the subject performs the action of the verb eg “The researcher conducted the experiment.” This voice is preferred for its clarity and directness. Passive voice shifts the focus from the subject to the object receiving the action eg “The experiment was conducted by the researcher.” This construction depersonalises the action and places emphasis on what was done, rather than who did it. It remains common in scientific writing, especially when the goal is to sound neutral and objective. A less familiar option is the middle voice, which is used when the subject appears to act upon itself eg “The solution mixed easily.” While rare in English, this type of construction is useful in science when describing processes that occur without deliberate intervention eg chemical reactions or biological behaviours. Beyond grammar, there are more stylistic or rhetorical 'voices' that can influence scientific communication. One of these is the passive-aggressive voice, which is a tone that emerges when blame or criticism is implied rather than stated directly eg “It’s surprising that no one thought to control for that variable.” This voice is unprofessional and best avoided in formal contexts. Another is the clickbait voice, which is more common in science communication aimed at the public. It uses sensational or emotionally charged language to grab attention eg, “This tiny microbe could change everything we know about life on Earth!” This is a useful tool in headlines or to engage the public or non-experts with scientific content. The impersonal or objective voice is also a hallmark of traditional academic writing. This voice avoids personal pronouns and foregrounds data or procedures eg “A statistically significant difference was observed.” It promotes neutrality and discourages emotional or subjective interpretation. However, the first-person active voice, using “I” or “we,” is now more accepted in many disciplines. Sentences like “We analysed the samples” can add clarity and accountability by specifying the author’s role without sounding egotistical. Some scientific writing also benefits from a narrative voice to take the reader through the process eg “After discovering the anomaly, we revised our hypothesis.” This can be especially effective in case studies, historical overviews, or discussions where process matters as much as outcome. Finally, the promotional voice is used in grant applications, public engagement and abstracts aiming to showcase importance eg, “This study presents a groundbreaking solution to antibiotic resistance.” It is important to balance enthusiasm with evidence and avoid overclaiming. Different voices serve different rhetorical purposes and tone and credibility can hinge on the right voice choice, so knowing them is part of scientific literacy.

PhD students, write for examiners to pass! Examiners value clarity, logic, and strong argumentation. A well-structured thesis makes passing easier. Here’s how: 1️ 𝗝𝘂𝘀𝘁𝗶𝗳𝘆 𝘆𝗼𝘂𝗿 𝗿𝗲𝘀𝗲𝗮𝗿𝗰𝗵 𝗰𝗹𝗲𝗮𝗿𝗹𝘆 ↳ Define a clear research gap and its significance. ↳ Align your questions and aims with academic debates. ↳ Show how your study adds value to existing knowledge. Avoid: A vague problem with no clear gap. 2️ 𝗘𝗻𝗴𝗮𝗴𝗲 𝗰𝗿𝗶𝘁𝗶𝗰𝗮𝗹𝗹𝘆 𝘄𝗶𝘁𝗵 𝗹𝗶𝘁𝗲𝗿𝗮𝘁𝘂𝗿𝗲 ↳ Don’t just summarize - analyze and critique past research. ↳ Show how your study fits into ongoing academic conversations. ↳ Identify gaps, contradictions, and your unique position. Avoid: Listing studies without explaining their relevance. 3️ 𝗝𝘂𝘀𝘁𝗶𝗳𝘆 𝘆𝗼𝘂𝗿 𝗺𝗲𝘁𝗵𝗼𝗱𝗼𝗹𝗼𝗴𝘆 ↳ Explain why you chose specific methods. ↳ Justify sample size, data collection, and analysis. ↳ Address limitations and how you mitigated them. Avoid: Using methods without proper justification. 4️ 𝗘𝗻𝘀𝘂𝗿𝗲 𝗰𝗼𝗵𝗲𝗿𝗲𝗻𝗰𝗲 𝗮𝗻𝗱 𝗳𝗹𝗼𝘄 ↳ Use signposts (“As discussed in Chapter 2…”) to guide readers. ↳ Maintain logical links between chapters and sections. ↳ Keep terminology and argumentation consistent. Avoid: Disjointed chapters with no clear connections. 5️ 𝗔𝗻𝗮𝗹𝘆𝘇𝗲, 𝗱𝗼𝗻’𝘁 𝗷𝘂𝘀𝘁 𝗿𝗲𝗽𝗼𝗿𝘁 ↳ Explain why your findings matter, not just what they are. ↳ Discuss implications, contradictions, and alternative interpretations. ↳ Engage critically - don’t just describe results. Avoid: Surface-level analysis with no critical depth. 6️ 𝗛𝗶𝗴𝗵𝗹𝗶𝗴𝗵𝘁 𝘆𝗼𝘂𝗿 𝗼𝗿𝗶𝗴𝗶𝗻𝗮𝗹 𝗰𝗼𝗻𝘁𝗿𝗶𝗯𝘂𝘁𝗶𝗼𝗻 ↳ State your theoretical, methodological, or empirical contribution. ↳ Show how your findings challenge or extend past research. ↳ Answer: Why does your study matter? Avoid: Expecting examiners to infer your contribution. 7️ 𝗪𝗿𝗶𝘁𝗲 𝗽𝗿𝗼𝗳𝗲𝘀𝘀𝗶𝗼𝗻𝗮𝗹𝗹𝘆 ↳ Keep writing clear, concise, and well-structured. ↳ Follow academic formatting and citation guidelines. ↳ Use figures, tables, and references effectively. Avoid: Typos, sloppy formatting, and poor readability. 8️ 𝗦𝘂𝗽𝗽𝗼𝗿𝘁 𝗲𝘃𝗲𝗿𝘆 𝗰𝗹𝗮𝗶𝗺 𝘄𝗶𝘁𝗵 𝗲𝘃𝗶𝗱𝗲𝗻𝗰𝗲 ↳ Back arguments with data, theory, and literature. ↳ Ensure logical consistency between findings and claims. ↳ Avoid unsupported assumptions. Avoid: Making claims without clear supporting evidence. 9️ 𝗔𝗹𝗶𝗴𝗻 𝗰𝗼𝗻𝗰𝗹𝘂𝘀𝗶𝗼𝗻𝘀 𝘄𝗶𝘁𝗵 𝗳𝗶𝗻𝗱𝗶𝗻𝗴𝘀 ↳ Make sure your conclusions reflect actual results. ↳ Avoid overgeneralization or exaggeration. ↳ Acknowledge limitations and future research areas.
